The UW Science Institute is hiring a full-time Administrative Associate who will primarily be responsible for administrative tasks involving the institute's research programs and operations which include an undergraduate research program (WRSP), specialized research service center facilities, research centers, and research grants.

Our unit is extremely collaborative and all of our research programs also have educational components. As such, this position will work closely and collaboratively with the existing Administrative Associate who is primarily responsible for the educational programs and operations of the Science Institute.

This is a service-oriented position that involves working directly with students and faculty. Major duties will include but not be limited to scheduling, event planning, travel management, management of proposals and applications, purchasing, limited finance duties involving credit card management, and limited HR duties involving hiring and payroll for student employees.

JOB TITLE:

Administrative Associate - Science Institute

JOB PURPOSE:

Provide, under very limited supervision, project leadership and assist with directing the operational, financial, personnel and planning functions of a large/complex designated unit requiring the use of considerable independent judgment, originality, and application of management and human relations skills. Autonomously oversee and/or coordinate complex administrative tasks that substantially impact operations within and outside the unit/program.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
  • Oversee and/or perform complex administrative tasks that substantially impact operations within and outside the unit/program for a significant percentage of time.
  • Provide project leadership; independently assist with directing the operational, financial, personnel and planning functions of a large/complex designated unit; serve as mediator with other University departments, external individuals and groups.
  • Research, conduct or respond to complicated inquiries and situations relative to the designated unit or program; analyze and integrate statistical or other assistive data; prepare detailed reports and documentation.
  • May arrange or conduct symposia, conferences and meetings including design and implementation of agenda, selecting speakers/facilitators, publicity and marketing; conduct related follow-up assessments.
  • Oversee management of unit/program files and records; serve as primary resource person in interpreting policies and procedures.
  • Initiate, manage and control designated planning or budgetary projects relative to the unit or program; may solicit and manage funds for research or related agreements.
  • Assist with establishing or revising policies, systems, methods and procedures; prepare related documentation including the design and implementation of computer programs, as appropriate.

REMOTE WORK ELIGIBILITY:

This position provides vital support to campus constituents and requires the successful candidate be available to work on campus. However, flexible work schedules and partial remote work agreements are standard departmental practice.

MINIMUM QUALIFICATIONS:

Education: Bachelor's degree or an equivalent combination of education and work experience

Experience: 2 years progressively responsible experience in roles with significant administrative, clerical, accounting, or human resources responsibilities

Other Requirements: Valid driver's license with a motor vehicle record (MVR) compliant with the University Vehicle Use Policy .
