This Senior Administrative Assistant support position reports to and directly supports the Vice President & Chief People Officer (VP & CPO). This role independently evaluates requests and allows or denies access to the VP & CPO, and provides extensive and effective management of the VP & CPO's calendar and appointments ensuring a clear purpose and strategic use of the VP & CPO's time. This position typically oversees and manages all aspects of event and meeting planning for the VP & CPO's office, including but not limited to budgeting, planning, vendor negotiations, contracts, preparation and execution. This position assumes primary responsibility for preparation and dissemination of communications and presentations. This role also provides high-level advising on administrative matters to the VP & CPO and other senior leadership, to include exercising strong judgment in scheduling and screening requests for meetings with the VP & CPO and in handling day-to-day operational decisions while escalating as appropriate. This position serves as a liaison between the VP & CPO's office and other departments within or outside the university.
The Senior Administrative Assistant to the Vice President & Chief People Officer serves as the primary administrative and operational contact for the Office of the VP & CPO.
This position is responsible for a range of duties, including:
*Effectively managing the time of the VPHR through calendar management, scheduling and document preparation.
*Overseeing HR administrative operations, including: IT asset management and office space across three primary locations.
*Large-scale event planning;
*Undertaking confidential and high-level writing, research and project management responsibilities
*Acting as a liaison between departmental and university staff, the VPHR's direct reports, and other stakeholders. Acts on behalf of the VPHR, when called upon, by attending meetings, facilitating communications, and coordinating completion of tasks with members of the HR leadership team.
This position is located in Foggy Bottom campus and requires occasional travel to Virginia Science and Technology Campus ( VSTC). Performs other related duties as assigned.
The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.
Minimum Qualifications:
Qualified candidates will hold a Bachelor's degree in an appropriate area of specialization. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience.
