We have an opportunity at our corporate offices in Chicago for a Director I, Conference Services on our Corporate Services team. This is a hybrid position reporting into our Chicago, IL office.
As Director I, Conference Services, you will be responsible
for overseeing the Conference and Events department of the AMA. Responsible for
determining the goals and objectives for the team and directing the day-to-day
management, planning and execution of large-scale events. Responsibilities include site selection, contract
negotiation and budgeting. Lead a
diverse services group to ensure high-quality of
service to Board, House of Delegates, Senior Management and internal staff encompassing
Meeting, Conference, Travel, and Print Services.
RESPONSIBILITIES:
Event Oversight &
Planning
- Determine goals, objectives and measures for the unit; monitor and report on progress/risks to all stakeholders
- Responsible for the development and management of a multi-million dollar budget; determine event budgets
- Define and oversee AMA meeting standards and best practice; oversee the development of processes for repeatability and scalability of events
- Direct the site selection, contract and rate negotiation for multiple, major external AMA meetings to ensure location amenities meet high, quality standards for Board, House of Delegates, and internal AMA staff
- Develop event marketing and communication plans
- Provide advice and counsel to Leaders in event management best practices
- Conduct research to identify new event opportunities for the organization
- Provide recommendations on current software and tools to support large events
- Review post event analysis and feedback, to incorporate into future event plans
- Identify opportunities for collaboration with other key stakeholders and develop and maintain relationships internally and externally to enhance meeting services
- Responsible for providing management and/or support in assisting with meeting logistics for internal and external meetings
- Coordinate and provide on-site management for AMA Board of Trustees and WMA Council and Assembly meetings
- Oversee the meeting registration, housing functions and travel logistics for meetings
Staff Management
- Direct and coordinate staff to manage all aspects and functions of Conference Center Services
- Provide appropriate staff management and training, guidance, and leadership for all staff
- Responsible for setting goals, evaluating performance, and developing and advancing staff skills/experience
- Manage contracted employees/staff for all meetings
- Oversee the Print Services department, ensuring the delivery of high-quality printing solutions and alignment with organizational needs
May include other responsibilities as assigned
REQUIREMENTS:
- Bachelor's degree required; degree in hotel or meeting management preferred
- Minimum 10+ years' experience organizing and managing major special events, conference centers, and/or a large-scale venue required
- Minimum 5+ years' experience in people management required; able to grow and mentor talent
- Experience working with labor unions required
- CMP certificate preferred
- Strong financial skills to build and manage budgets; demonstrated experience and success negotiating contracts required
- Strong planning, organizing and prioritizing skills
- Excellent written and verbal communication skills
- Proven interpersonal skills to interact with all levels of staff and management including at the Board of Trustees level
- Proven ability to identify and implement best practices
- Up to 25% travel
The salary range for this position is $120,360-$162,180. This is the lowest to highest salary we believe we would pay for this role at the time of this posting. An employee's pay within the salary range will be determined by a variety of factors including but not limited to business consideration, geographical location, and internal equity, as well as candidate qualifications, such as skills, education, and experience.
