Gift Administration Specialist - University Advancement

Carnegie Mellon is enjoying its most productive fundraising years in its history, surpassing the initial fundraising goal for its $2 billion Make Possible campaign more than 18 months ahead of schedule. University Advancement (UA) supports the entire CMU community in building relationships with key constituencies and securing the financial resources the university needs to continue its ascent. As the division grows, we are seeking a Gift Administration Specialist to join the team. This is an exciting opportunity if you thrive in an interesting and fast-paced work environment.

Reporting to the Director of Gift Administration, this position will be responsible for researching, entering, and maintaining data in the Advancement information system and auditing the integrity of that data. This includes accurately entering the daily receipt of university gifts and pledges from various sources, running daily proof reports for each gift batch, archiving batch and donor documentation as substantiation, and reconciling batches with the gift log. In addition, this position is responsible for modifications to existing commitments and maintaining matching gifts.

Core responsibilities include:

  • Coordinating and prioritizing day-to-day gift processing activities and ensuring accurate processing and stewardship of gifts in compliance with industry standards and best practices.

  • Participating in the accurate processing of commitments involving pledges, checks, credit cards, and electronic funds transfers for unrestricted and restricted gifts for the university.

  • Reconciling batches with statements and donor documentation to ensure accurate recording.

  • Communicating with supervisor and senior staff to ensure accurate processing of gifts and to ensure financial integrity and accuracy.

  • Communicating with Gift Administration, Advancement Services and University Finance staff to resolve technical problems or adjustments that must be made to ensure accurate processing of gifts in Oracle.

  • Coordinating monthly employee payroll deductions ensuring accurate deductions.

  • Processing special handling of non-routine commitments.

  • Adjusting gifts and pledges as directed by the Director of Gift Administration.

  • Making deposits and retrieving financial information from multiple sources.

  • Assisting in handling telephone calls and emails, as well as providing world class customer service to university staff, alumni and constituents.

  • Actively participating in the donor receipting process.

  • Maintaining constituent records, both digital and physical.

  • Other duties as assigned.

Qualifications:

  • High school diploma or GED required (associate's degree in business or finance preferred).

  • Two years of office experience

  • A combination of education and relevant experience from which comparable knowledge is demonstrated may be considered.
