Summary of Job Duties:The Educational and Student Success Center (ESSC) Administrative Specialist III provides primary administrative support and oversight for the administration of the ESSC Peer Tutorial Program. This includes administering the program, assisting with process development, managing tutorial work schedules, all aspects of the vendor setup and maintenance, monthly processing of payments and reconciliation of the programs expenses. This position will coordinate and manage ESSC student and faculty development programs including Academic Success Services, the Educator's Academy, Teaching Scholars, and E-Learning and Instructional Design faculty development workshop series. The Administrative Specialist III will perform administrative duties for the Director of Educational and Student Success Center, faculty and staff. Qualifications:

High School diploma/GED plus three (3) years of administrative experience required.

Knowledge, Skills & Abilities:

  • Intermediate proficiency with computers (Mac, PC and mobile devices).

  • Preferred - Account management and reporting/bookkeeping experience.

  • Workday experience with Travel and Procurement is a must.

  • Preferred - Website creation and maintenanceexperience.

  • Excellent customer service skills.

Additional Information:

Responsibilities:

  • Providesadministrative and budget support related to the UAMS ESSC Student Peer Tutoring Program.

  • Coordinates communication and documentation to set up as suppliers, reviews timesheet submissions for accuracy based on documented scheduling.

  • Prepares monthly reports for payments per tutor, coordinates with the treasurer's office for payment disbursements and completions, corrections/updates for addresses, uncashed checks, etc.

  • Coordinates communications, schedules, documentation, accreditation reports, and continuing education requirements for ESSC faculty and student development programs including the Educator's Academy, Teaching Scholar's program, and Academic Success initiatives.

  • Provides department level administrative support for students and faculty.

  • Opens and distributes incoming correspondence, including faxes.

  • Answers the phones and directs calls/emails to the appropriate department or person(s).

  • Receive and send packages from various suppliers.

  • Provides support for all student and faculty events - schedules rooms, event setup, delivery and take down.

  • Updates and maintains appropriate department websites and web forms.

  • Assists faculty with booking appointments.

  • Assists with checking out laptops to students when IT Support person is away from desk or out of office.

  • Orders and distributes office supplies to employees as needed.

  • Maintains supply inventory and procurement services for student and faculty development needs.

  • Performs other duties as assigned.
