Position Overview
The Osher Institute is a part of Jayhawk Global, an education innovation center that advances and delivers non-traditional forms of learner engagement, including online degree programs, professional and workforce development, certifications, competency-based educational offerings, credit for prior experience, employee training, and enrichment learning. Jayhawk Global's mission is both internal, working collaboratively with all KU academic schools and departments, and external, serving all 105 Kansas counties, 50 U.S. states, and over 40 countries. Additional units in Jayhawk Global include Academic & Professional Programs (including the Aerospace Short Course Program, Conferences & Non-Credit Courses), the Kansas Fire & Rescue Training Institute, the Kansas Law Enforcement Training Center, and the Center for Online & Distance Learning.

As part of the national Osher Institute network, the Osher Institute at KU is committed to creating accessible and innovative learning environments in Northeast Kansas and the Greater Kansas City Area, with a special focus on participants aged 50 and over, although the program is open to everyone.

The Program Manager (PM) independently manages unit education programs or components of larger programs with limited direction from Director, including administrative responsibilities. Manages the logistics associated with providing educational opportunities and events to 1500+ students annually. Designs and conducts program assessments, analyzes results, and works with instructors and partners to modify programs based on results. Collaborates with University faculty, staff, students, and/or members of the community in developing curriculum and managing education programs. Will supervise pool-coordinator staff and/or student employees, including scheduling, task delegation, training/onboarding and budget oversight.

The Program Manager position requires a highly motivated and self-directing individual who can work with a variety of stakeholders including students, instructors, University faculty and staff, community partners and others, always providing the highest level of customer service. The PM must be able to work autonomously, manage multiple tasks concurrently, have a strong proficiency in technology including registration and online learning software, and be able to meet project deadlines. The PM must also be able to understand and communicate the mission and purpose of the Osher program and translate that mission to strategic solutions to enhance program quality and encourage growth in new markets.

Job Description
50% Course Planning and Logistics Management

Implementing and managing Osher Institute noncredit enrichment short courses, programs, and events for each of two annual semesters designed for 1500+ students 50 years of age and older, including:
  • Managing all aspects of semester scheduling including instructors, multiple venues, partner relationships and other stakeholders to develop and deliver program content, including the timely submission of course descriptions, instructor bios, supplemental class materials, contracts and other necessary documentation.
  • Identifying, contracting and managing lecturers, entertainers, artists and other presenters to develop and deliver multiple special events annually.
  • Managing a portfolio of community partners to secure revenue, class sites, technology, and support.
  • Develops and manages program and event budgets to ensure positive revenue growth and accurate expenditures.
  • Providing necessary oversight and task delegation to meet course and event goals, including:
  1. Generation of class rosters, nametags, supplemental materials and other items required for class sessions.
  2. Management of technology requirements for hybrid and online class delivery.
  3. Management and scheduling of pool coordinators, students and other staff to provide class monitoring support.

Collaborating with the Jayhawk Global Marketing and Registration Team to promote programs and ensure seamless enrollment of participants including:
  • Ensuring all course/session/instructor information is accurately entered into Enrole Software
  • Close monitoring of class enrollment numbers to ensure both revenue and program quality goals are achieved.
  • Generation of reports to accurately track enrollment

25% Financial and Reporting Responsibilities

  • Works with the Business Specialist to ensure that all instructors and other presenters are paid their negotiated salary in a timely manner
  • Works with the Business Specialist to ensure that all vendors and other event partners are paid the negotiated rate in a timely manner.
  • Prepares and manages budgets, semester and year-end financial reports and analysis for assigned programs, including reporting to funders and other stakeholders

15% Program Assessment

  • Designs and conducts course evaluations to students and instructors in a timely manner to ensure accurate feedback
  • Oversees the development of a process for ensuring feedback is incorporated into future program planning and class development, in collaboration with Advisory Committee of instructors, students and partners.

10% Administrative Support

  • Manages the timely submission of all paperwork, including contracts, W-9s and PSAs in accordance with University policies and procedures
  • Supervises, mentors, and delegates work to student workers, pool coordinators and volunteers
  • Supports volunteer Advisory Committee
  • Other duties as assigned

Position Requirements
  1. Ability to work occasional irregular hours including some evenings, weekends and overnight trips.
  2. Ability to lift 35 pounds with or without reasonable accommodation.
  3. Will need a valid Driver's License at time of appointment.

Required Qualifications
  1. Bachelor's degree from an accredited institution and five years of program or project management experience or Master's degree from an accredited institution.
  2. Two years of work experience in a position that included working effectively in a team environment with minimal oversight as seen in work experience and application materials.

Preferred Qualifications
  1. Two years of program management, event management or related experience.
  2. One year of experience working with budgets.
  3. One year of experience working in higher education and/or with the 50+ population.
  4. One year of experience supporting online learning, including working with a learning management system.
  5. One year of customer service experience.
  6. Familiarity with the Lawrence/NE Kansas/Johnson County communities.
  7. Excellent communication skills as evidenced in application materials.
