Overview

The Central Supply Coordinator will be responsible for all the essential job duties of materials management by ensuring that supplies are ordered and received. Responsible for the distribution of supplies and maintaining the central supply department in a clean, organized, and functional condition. Receive and distribute supplies throughout the organization. Assist other department personnel as necessary.

Hiring Pay Range: $18.00-$32.00 per hour

Responsibilities

  1. Purchase, receive, and manage inventory of clerical and clinical supplies, and uniforms as needed.
  2. Establish, implement and monitor purchasing policies and procedures.
  3. Check invoices against orders that are delivered.
  4. Receive and log all incoming shipments, place items in their proper place in central supply, and distribute to appropriate departments as needed.
  5. Tracks inventory maintenance and keeps management up to date regarding inventory inflow and outflow.
  6. Perform inventory count as needed.
  7. Receive requests and requisitions from clinic staff, fill orders, and distribute.
  8. Rotate stock and supplies according to expiration dates so that the earliest to expire are in the front.
  9. Remove, document, and package all expired items for shipment.
  10. Help maintain organization in central supply warehouse including stocking shelves with incoming orders and keeping the warehouse as neat as possible.
  11. Identify and source new suppliers and vendors. Evaluate new products based on price or improvement in quality.
  12. Communicate with nurses and other staff about the use of products, concerns, and assess likes and dislikes.
  13. Conduct trials to evaluate new products before purchasing.
  14. Facilitate training for staff as necessary.
  15. Manage contracts such as linen services, oxygen, etc.
  16. Communicate with buying groups regarding products and usage.
  17. Monitor supplier and vendor compliance with contractual agreements.
  18. Facilitate delivery of all supplies to Peoria and satellite clinics.
  19. Audit and control supplies for all ILCC sites including utilizing computerized inventory system.
  20. Travel to clinic sites periodically to main clinic inventory.
  21. Manage inventory of kitchen supplies (coffee, tea, sugar, creamer, hot chocolate, cleaning supplies, etc.).
  22. Post outgoing mail.
  23. Open, separate, and deliver incoming mail.
  24. Fulfill duties of Part-Time Mail Attendant on opposite days.
  25. Work additional hours when requested.
  26. Report to work area on time and remain available throughout the workday.
  27. Maintain patient confidentiality.
  28. Observe OSHA and ILCC policies and procedures.

SPECIAL PHYSICAL REQUIREMENTS

  1. Requires full range of body motion including handling and lifting items up to 50 pounds, manual and finger dexterity to operate office equipment, and eye-hand coordination.
  2. Requires frequent bending, reaching, squatting, and stooping.
  3. Ability to work on a desktop computer for extended periods of time.
  4. May require working under stressful conditions or working irregular hours.

SAFETY CONSIDERATIONS/TYPICAL WORKING CONDITIONS

  1. The employee has some exposure to toxic substances and is expected to be familiar with the dangers and proper handling of such.
  2. The employee is exposed to communicable diseases and other conditions common to the clinical environment.
  3. Work is performed in an office environment with frequent contact with staff and possibly patients.
  4. Safety policies and good health practices are to be understood and observed.

Qualifications

EDUCATION AND EXPERIENCE PREFERRED

Ability to read, write, and communicate effectively.

Previous inventory control preferred.

Computer experience to include the use of electronic inventory system preferred.
