Position Description
This position is responsible for assuring smooth operation of the clinic patient flow. Employees serve as primary contacts for patients and are responsible for scheduling appointments, preparing necessary paperwork before the patient visits, receiving patients, and maintaining records. In addition, this position is responsible for processing charges for clinic services, filing insurance claims, responding to requests for information from patients and insurance companies and maintaining related information for the department. Employees may have cash handling responsibilities.

Major/Essential Functions
  • Supports Service Plus philosophy of TTUHSC and Texas Tech Physicians of Lubbock to include the mission, vision and SPIRIT values.
  • Understands, cooperates with and supports all initiatives of our 5 Key Performance Indicators (KPI) Patient Satisfaction, Quality, Financial Performance, Business Development and People Development.
  • Adheres to institutional and departmental policies and procedures.
  • Will stand to greet and welcome patients, guest or visitors. Will represent the department and assist patients, guest and visitors in a friendly, professional and inviting way.
  • Contacts patients who have missed appointments. Coordinates appropriate documents for missed appointments and notifies both the physician and referring office.
  • Coordinates referral appointments to other clinics and incoming referrals.
  • Maintains and updates appropriate logs with patient information. Coordinates information with physicians and staff.
  • Contacts patients and confirms next day appointments. Coordinates patient information and updates as needed.
  • Prepares and organizes daily deposits according to policy and procedure. Accurately calculates and collects patient payment at time of service during patient check-in and/or check-out. Documents collected funds correctly according to policy and procedure.
  • Coordinates and distributes information received from afterhours service and automated service.
  • Receives all incoming calls for the clinic. Takes information from incoming calls and distributes accordingly.
  • Identifies and updates CPM with current demographic information and current insurance information for accurate billing and charge capture purposes.
  • Prepares schedule of daily appointments for distribution as necessary, and notifies clinic staff of any changes.
  • Receives patients, coordinates information, assists patients with forms and questions. Receipts payments for clinic services.
  • Maintains all incoming faxes via fax server and distributes accordingly to appropriate folder.
  • Ensures patients benefits have been verified via CPM Instance. Requests insurance card from patient to verify the information on the card is exact to the card scanned in EMR. Will run eligibility to verify active coverage. If not the same, will scan insurance card into patient file and update insurance information in CPM to ensure proper billing capture.
  • Maintains all incoming messages via CERNER (EMR) and distributes information accordingly. Will respond to messages on a same day basis. Communications accordingly with appropriate personnel.
  • Responsible for scheduling or rescheduling all patient appointments including all diagnostic tests and/or procedure ordered. Responsible for working the TONIC dashboard to ensure all patients are pre-registered.
  • Works closely with Supervisor, Administrator, faculty, residents, nurses and technicians in coordinating clinic and lab schedules.
  • May cross train with Managed Care Coordinator or any other area to act as backup.

Required Qualifications
A High School diploma or GED. 1-year Customer Service, office, or related experience. Additional education may substitute for the experience requirement.
