This is a hybrid position with the expectation of being in the office 4 times a week.

MaineHealth Innovation is seeking a dynamic and proactive Innovation Administrative Specialist III to join our team!

Role Overview: The Innovation Administrative Specialist III plays a crucial role in supporting the mission of MaineHealth Innovation and the bold goal of MaineHealth being a leader in innovation in healthcare. This position involves a blend of administrative, financial, operational, and project-based tasks that are essential for the day-to-day operations and future planning of the division.

Key Responsibilities:

  • * Administrative Support: Work closely with the Vice President of Innovation to prepare VIP meetings, generate meeting minutes, and prepare presentation materials.
  • * Financial Management: Conduct monthly budget reconciliation and manage invoicing.
  • * Operational Tasks: Manage inventory, documents, and office space.
  • * Stakeholder Engagement: Liaise with internal and external stakeholders to schedule meetings, collaborate on data gathering and lead and support events.
  • * Onboarding: Facilitate the onboarding process for new MaineHealth Innovation employees and innovation champions.
  • * Communication: Monitor and respond to general inquiries through the Innovation Center's communication channels.
  • * Reception: Greet care team members visiting MaineHealth Innovation.

    Summary:
    The Administrative Specialist III role is responsible for coordinating the daily activities of the assigned department and administrative operations for more than one executive while working closely with management and departmental staff, preparing correspondence, reports, and other documents; making travel arrangements; managing schedules and calendars, administering budgets, and performs other similar activities.

    Required Minimum Knowledge, Skills, and Abilities (KSAs)

    1. Education: High School diploma or GED preferred.
    2. License/Certifications: N/A
    3. Experience: Four years of experience in an administrative support role required.
    4. Additional Skills/Requirements Required: Advanced Microsoft Office skills.
    5. Additional Skills/Requirements Preferred: N/A
