Position Summary: Assist in the daily operations of the Distribution Management Department with a focus on product import management, including purchase order processing, raw materials importing, customs compliance, and logistics. Direct interface with Merchants, Vendors, Forwarders, and overseas Consolidators. Identify and resolve related issues as needed. Essential Duties and Responsibilities: Import Product Order and Logistics Management
- Maintain all shipment documents including commercial invoices, packing lists, importer security filing forms, ocean bill of lading or airway bill, General Certificate of Conformity. Identify on the shipping documents any items which must declared under Anti-dumping, Food & Drug, Fish & Wildlife, and Lacey Act regulations.
- Track and update product development, item master, and import item set-up, purchase, and order data, up to and through receipt of goods. Be actively involved in communication between Merchandising, vendors, brokers, and freight forwarders in all sourcing countries.
- Import Item Master setup and maintenance, such as pricing, tariff codes, and customs requirements.
- Review, transmit, and acknowledge purchase orders to international Vendors.
- Audit proforma invoices and resolve inaccuracies.
- Update confirmed ship dates, enter shipments, and prepare Advice Sheets in AS/400 JD Edwards
- Create and review stock status reports and open purchase order status reports in Excel and AS/400 JD Edwards.
- Daily monitoring of the Open Vessel Report
- Collaborate with Merchandising to ensure accurate forecasts of materials and products, maintaining flow of goods.
- Arrange for Ocean and air shipments internationally with forwarders and customs brokers and assist in shipment tracking.
- Arrange and coordinate vendor direct shipments for export to third country retailers.
- Assist in the claim management process, file freight claims based on receiving OS&D (Over, Short, and Damaged) reports and work toward claim claims resolution.
- Enforce standard operating procedures.
Purchase Order Processing
- Review, transmit, confirm, and maintain purchase orders created by the merchants to source vendors worldwide to regulate inventory levels. Revise purchase orders as needed for reallocations and/or pricing adjustments.
- Establish and maintain communication with vendors for accurate and timely delivery of goods.
- Work closely with Merchandising Inventory Planners in all import product categories.
- Gather pertinent purchasing-related forecasting information, including material, manufactured and freight cost fluctuations; required quantities and shipping lead times; and optimal load and order quantities for the Supervisor and Director to review and provide guidance.
Knowledge, Skills, and Abilities:
- High School Diploma or equivalent.
- No experience necessary. Import experience, a plus.
- Must be detail oriented and organized, with the ability to multi-task.
- Basic analytical skills required, with ability to process numerical data and to make arithmetic computations rapidly and accurately in Excel.
- Excellent computer skills, including Excel. Experience using AS/400 (JD Edwards) system operation, a plus.
- Excellent verbal and written communication skills.
- Fluency in Spanish, a plus.
