Description
The Senior Accountant Payroll ensures payrolls are processed timely and accurately and that each employee receives their correct pay on each pay date. In the absence of the Manager, Payroll (due to vacation, illness, etc.), the Accountant, Payroll is expected to perform all regular / routine payroll duties. The Accountant, Payroll also ensures that payroll documentation is compliant with state and federal laws, and Agency policies; and prepares payroll journal entries for each pay period and various payroll entries for month-end close. This role may be called on also to perform ad-hoc projects, and will also provide support to the Controller and Chief Financial Officer (CFO). The Accountant, Payroll reports directly to the Manager, Payroll. Essential Duties:
- Responsible for verifying the timeliness and reasonableness of all payroll data inputted for hourly (bi- weekly) and salary (bi-weekly) employees. This is to include, but is not limited to, payroll data such as hours worked, tax information, direct deposit information, department allocations, pay adjustments, new hires, and terminations.
- Ensures deductions for fringe benefits, wage garnishments, and wage assignments are correctly calculated, withheld, and remitted to the appropriate third party.
- Reviews all payroll exceptions and resolve exceptions issues before finalize payroll
- Stays abreast of developments to our payroll system - Ultimate Kronos Group (UKG), including all updates to features and function, tax and W-2 changes.
- Responsible for adhering to the paperwork requirements established by State & Federal laws, funding bodies, and agency policies and the overall maintenance and integrity of the payroll files. This includes but is not limited to, timesheets, W-4 forms, payroll batches, personnel files, internal and external audit requests and retention requirements.
- Able to assist Manager, Payroll to configure UKG with correct payroll codes and time allocations for departments, grants, and fund codes for each employee.
- Responsible for solving problems, concerns, and or discrepancies with Manager. Follows-up with employee and outside party requests in a timely manner and addresses errors and complaints in a pro- active manner.
- Able to understand and adhere to our Payroll Excel Spreadsheet Guide which maps all payroll codes (earnings, deductions, and taxes) to the general ledger using tables, narrative text, and T-Accounts (debits & credits).
- Able to process all retro-pay transactions. Coordinates death benefit, termination, and severance payouts, etc., with Manager.
- Works with Manager to issue IRS required forms such as annual W-2s and ensures quarterly returns are submitted correctly to IRS. Ensures annual COLA increases are processed correctly. Ensures reports to State of Illinois are prepared and submitted on-time and accurately.
- Provides employee assistance with time sheet errors and training, fielding questions regarding bi-weekly pay.
- Sets-up employees Pay Time Off (PTO) and manage employees' PTO plans in accordance with company policies
- Quarterly/Year-end reconciliation for the employer and employee data that is used in processing quarterly tax reports and ensures W-2s are accurate. Confirm that all "manual" checks written during the year have been accounted for and updated in the system
- Reconciles all payroll expense and liability accounts on monthly/quarterly basis
- Other duties as assigned.
Education:
- Bachelor's degree in Accounting required
Experience:
- 5-10 years of experience of payroll processing preferred.
- Experience in non-for-profit and/or healthcare preferred.
- Knowledge of GAAP and statutory accounting principles required.
- Experience in regulatory and statutory financial reporting within a not-for-profit organization preferred.
- Proficient MS Office experience, strong Excel skills a must.
