Job Summary

The anticipated duration of this temporary assignment is approximately 5 months.

This role will play a key role in supporting the operations and activities of the Training & Health Equity (THE) Collaborative within the Department of Family & Community Medicine. This position involves a range of responsibilities to ensure the smooth functioning of programs and projects.

Key Responsibilities:

  • Coordinate complex scheduling and logistics for THE Collaborative using platforms such as Outlook, Zoom, Slack, and other meeting/conference tools.
  • Provide logistical support for stakeholder engagement activities and training delivery sessions.
  • Offer administrative assistance to THE Collaborative senior management team, including arranging logistics for visitors, managing training operations, and ensuring day-to-day office functionality.
  • Assist with purchasing, processing reimbursements, and supporting operational workflows.
  • Collaborate with the Training & Development Unit team to coordinate project work.
  • Manage and track travel arrangements (domestic, international, and State-sponsored), prepare necessary documentation, and process travel reimbursements.
  • Support expense reconciliation for THE Collaborative, including ordering and maintaining supplies as needed.
  • Collaborate on FCM and UCSF projects with THE Collaborative senior management team.

The ideal candidate will have excellent organizational and communication skills, the ability to multitask in a dynamic environment, and proficiency in using various administrative tools and platforms.

Department Description

UCSF's Temporary Employment Program (TEP) recruits and hires temporary employees for immediate clerical and technical support services to UCSF Departments and various off-campus locations. UCSF departments deploy temporary employees to work on special projects, fill in for regular employees who are on vacation or leave, or to temporarily fill a vacant position during recruitment. Frequently temporary employees become successful candidates for career and limited appointment positions.

Required Qualifications

Working knowledge of common organization- or research-specific and other computer application programs. Proficient in communication and interpersonal skills to communicate effectively, both verbally and in writing. Proficient in ability to use discretion and maintain all confidentiality. Demonstrates ability to use sound judgment in responding to issues and concerns. Demonstrates ability to analyze, research and synthesize large amounts of data with strong attention to detail. Proficient in ability to multi-task with demanding timeframes. Working knowledge of applicable policy analysis techniques.
