Job Summary

The Herbert Wertheim College of Medicine is currently seeking a Sr. HR Specialist to join our team of professionals.

Manages the Appointment, Promotion and Tenure Committee (APT) process. Coordinates the Herbert Wertheim College of Medicines (HWCOM) Community Based Faculty actions and maintains accurate and up to date information. Responsible for the recruitment and on-boarding process for all graduate medical education residents. Serves as a backup for the Search and Screen process of assigned faculty searches by leading the committee meetings, screening all applicants, and providing guidance and support to the committee members throughout the recruitment process. Responsible for a variety of Human Resources related functions

Duties:

  • Manages the Appointment, Promotion and Tenure Committee (APT) process and ensures all appointment requests and changes are processed, as approved. Provides guidance to Department Chairs, committee members and HWCOM Human Resources regarding APT procedures, as needed.
  • Manages all Community Based (Non-Paid) Faculty appointments for HWCOM. Responsible for ensuring that all necessary paperwork has been received and properly vetted through the department and APT committee prior to processing all necessary actions in the FIU system. Responsible for maintaining information and conducting appropriate follow ups for all Community Based Faculty including coordinating annual reviews of all appointments.
  • Responsible for the hire and onboarding process for medical resident programs to ensure timely onboarding. Provides support in the development and implementation of process improvement initiatives. Serves as a liaison for the medical residents and Office of Graduate Medical Education for all HR inquiries and processes.
  • Ensures the processing of annual contracts for promoted medical residents and corresponding salary actions. Collaborates with the Office of Graduate Medical Education regarding contract language changes and market data for adjustments.
  • Responsible for the Search and Screen process of assigned faculty searches by leading the committee meetings, screening all applicants, and providing guidance and support to the committee members throughout the recruitment process. Adheres to all University policies as well as state and local laws, including the Sunshine Law.
  • Coordinates the recruitment and hiring process for assigned regular, temporary, visiting and postdoctoral positions. Conducts compensation analysis. Ensuring that the completion of all pre-requirements are met prior to extending the offer letter. Conducts faculty reference checks, background checks, licensure verification, NPBD searches and credentialing for all new hires.
  • Povides support for the immigration process for new hires and employees. Collaborates with internal and external contacts to obtain the necessary documentation and approvals. Ensures the timely and accurate submission of documentation required by the Immigration Law Firm. Liaises with International Student and Scholar Services regarding the processing and requirements for J1 Visas.
  • Process faculty actions in PantherSoft system including but not limited to pay actions, renewals, changes in supervisor, department, etc. Ensures changes are reflected accurately in PantherSoft.
  • Collaborate with the HWCOM HR team with departmental initiatives regarding faculty affairs and special projects.
  • Responsible for a variety of Human Resources actions including maintaining spreadsheets regarding Community Based faculty, Secondary Appointments, administrative appointments, and affiliate faculty information to ensure accurate and up-to-date information.
  • Performs other related duties as required or directed. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.
Minimum Qualifications

Bachelor's degree and four (4) years of professional human resource experience.

Desired Qualifications

  • Experience working in a Human Resources Department, preferably in a higher education setting.
  • Experience working with high level faculty.
  • Ability to effectively work independently and as a member of a team quickly build strong working relationships, demonstrate a high-level of integrity, and establish a proactive approach to customer service.
  • Excellent verbal, interpersonal and written communication skills are required.
