Job Summary

The Herbert Wertheim College of Medicine is currently seeking an HR Specialist to join our team of professionals.

Responsible for onboarding training for new hires at the Herbert Wertheim College of Medicine (HWCOM). Handles the Person of Interest (POI) process and leave of absence (LOA), including maintaining accurate records. Supports event coordination and assists with the development of internal newsletters. Provides assistance on HR processes and assists with various administrative functions.

Duties:

  • Serves as the first point of contact by welcoming visitors and answering all incoming calls for the main office of Human Resources within the Herbert Wertheim College of Medicine (HWCOM HR). Maintains HWCOM HR email address and replies to inquiries as needed.
  • Coordinates the enrollment of new hires in the required courses based on their job descriptions and provides onboarding information, including FIU email and Panther ID number. Maintains and issues reports on the completion of required new hire and annual trainings. Follows up with supervisors if trainings are not completed by the deadline and escalates any unresolved issues to the HWCOM HR Director.
  • Coordinates the Person of Interest (POI) process for HWCOM, including the annual medical resident process. Reviews requests, ensures proper forms are utilized and submits/tracks requests in the PantherSoft system. Maintains records/logs of existing POIs and follows up as needed for renewals.
  • Responsible for the maintenance and tracking of Leave of Absence (LOA), Flex Work Schedule and Workers Comp process for the college. Provides guidance on process and ensures departments adhere to internal procedures. Informs Office of the Dean and/or Central HR of requested leaves. Maintains the college LOA tracking log.
  • Completes change requests for Admin/Staff for various HR actions such as allocation changes, one-time payments, changes in supervisor/duties, etc.
  • Coordinates and schedules events, recognition programs, meetings and/or trainings requested and maintains outlook calendar. Registers attendees for trainings and ensures that all logistical needs are requested.
  • Develops and distributes monthly HR newsletter. Works with internal departments to obtain, develop, and design monthly stories and/or announcements to increase and enhance employee engagement.
  • Responsible for the maintenance and updates related to the HR section of the HWCOM website. Ensures information is accurate and up to date and liaises with the leadership team on necessary updates.
  • Conducts inventory of office supplies and ensures orders are placed as needed by collaborating with the designated HR representative.
  • Serves as back up with the hiring process for Student Assistants (including Student Tutors and Federal Work Study Students) and temporary positions, when needed.
  • Provides assistance to the HR team with special projects as needed, including periodic audits and implementations of new procedures.
  • Performs-related duties as assigned by the immediate supervisor. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.
