Job Overview:

The RWJBarnabas Corporate Payroll Department supports an employee base of more than 40,000 employees. The Payroll Records Supervisor is responsible for monitoring all tasks and initiatives necessary to accomplish the organization s payroll processing objectives. This role is responsible for the training of the Payroll Records Technicians, and ensuring the timely and accurate processing of all payroll related files and reporting required. The Payroll Records Supervisor ensures the payroll function is following company policies and procedures, wage & hour laws, Federal Labor Standards Act (FLSA), and other applicable requirements.

Qualifications:

Required:

  • Associate's Degree or equivalent level of experience
  • Minimum of 3 years experience with payroll interfaces.
  • Proficient in Microsoft Word and Excel
  • Must be able to adhere to confidentiality standards and professional boundaries at all times.
  • Extensive knowledge of PeopleSoft
  • Proficient at MS Office (especially Excel)
  • Working experience of federal, state, and local tax practices
  • Must be a team player.
  • Must be highly organized.
  • Prior system conversion experience a plus
  • Strong oral and written communication skills to effectively communicate with all levels of management and external vendors.

Preferred

  • 5+ years of experience with PeopleSoft
  • Previous experience with tax and vendor updates within a large payroll system

Certifications and Licenses Required:

  • Certified Payroll Professional (CPP) Certification; or, as a condition of employment, obtain certification within 1 year of starting

Essential Functions:

  • Back-up for the Payroll Manager
  • Direct and coordinate the timely and accurate payroll confirmation process and all post production processes.
  • Develops and maintains payroll interface procedures and documentation to ensure organized and consistent processing.
  • Supervise and oversee the payroll records team including but not limited to establishing team goals, process improvement projects, assign tasks, maintain work/time off schedules.
  • Responsible for the oversight, development, training and mentorship of payroll records team ensuring optimal performance.
  • Coordinates all required testing including but not limited to year end testing, new site testing, vendor file testing and set ups for accurate and timely payroll and W2 processing and new year readiness.
  • Oversee daily operations of payroll records and perform administrative functions for the payroll department.
  • Responsible for the bi-weekly Savings Plan reconciliation, error resolution and funding.
  • Responsible for tracking and reporting of Drivers and Auto Allowances for W2 reporting.
  • Responsible for the audit and oversight of the Escheatment process.
  • Responsible for the oversight of the Payroll Mailbox and ensuring all emails are handled accordingly and responded to, where applicable, in a timely manner.
  • Responsible for the oversight of MSP tickets and routing to the proper team member for handling and responding in a timely manner.
  • Responsible for reconciling periodic and quarterly tax reports and working with Payroll Manager and Processors on any issues along with payroll tax audits and system updates. Work with external payroll company as needed.
  • Working with AVP of Payroll on registering new state and/or local taxes based on employee work locations for remote/hybrid employees and ensuring necessary tables within PeopleSoft and ADP are updated properly.
  • Manage the receipt of inbound and processing of outgoing files to various entities including the Financial FSCM System for Accounts Payable and GL entries, ADP Tax Services, Wage Services, and Garnishment Services, Fidelity, Wex, JP Morgan Chase, and any other payroll related vendors.
  • Remain updated on current and changing payroll related laws across multiple states.
  • Attend vendor meetings and provide input/recommendations on program modifications and/or improvements.
  • Conducts research or assigns research to the team to perform ongoing audits and analysis of vendor data.
  • Establish and maintain effective communication and coordination with Company associates, departments, and management.
  • Participate in company projects as assigned.
  • Assume responsibility for related duties as required or assigned.
