SUMMARY
Serves as a mission driven leader to the operational staff of PPGOH realizing our strategic vision and operationalizing the work of health services. Champions strategy and patient experience and works to bring all stakeholders together to ensure an outstanding patient and associate experience. Responsible for the coordination of the operations and financial position of PPGOH health centers. This includes supervision of Lead Practice Managers and Health Services support staff as appropriate. Responsible for achieving and maintaining health center productivity and efficiency goals, compliance standards, and patient satisfaction. Assists in the development and implementation of new initiatives and/or policies within the health center/department as necessary. All activities are carried out in communication and coordination with the Chief Operating Officer and Sr. Dir of Clinical Services and Strategy. ESSENTIAL DUTIES and RESPONSIBILITIES include the following. Other duties may be assigned.
- Collaborates with the Health Services Leadership team, Regional Lead Practice Manager(s), Regional Lead Clinician(s), and other department leaders to plan, implement, monitor, and evaluate medical service programs.
- Provides oversight for medical services operations across all health centers, ensuring efficient service delivery and achieving high-quality outcomes for both internal and external customers.
- Supervises and supports the Lead Practice Manager(s), including recruiting, hiring, and onboarding new Practice Managers in collaboration with PCE. Provides ongoing guidance and leadership.
- In partnership with Health Services Leadership, defines operational standards, staffing levels, and productivity metrics for Health Services.
- Collaborates with the Chief Operating Officer (COO) and Chief Financial Officer (CFO) to establish service fees and manage fiscal goals.
- Communicates PPGOH's expectations, procedures, and policies for health center operations, including managing performance, evaluations, and corrective actions for Lead Practice Managers, Practice Managers, and support staff, up to and including termination.
- Develops and implements management systems, in collaboration with the COO, to sustain productivity, financial solvency, and operational excellence across health centers.
- Supports strategic initiatives and serves as a resource for other administrative departments as needed.
- Maintains a comprehensive understanding of community needs, operational workflows, financial trends, and patient satisfaction, guiding managers to address challenges and opportunities in these areas.
- Leads regular Practice Manager meetings and fosters interdepartmental communication and teamwork, ensuring alignment with department and organizational goals.
- Supports the COO in achieving the overall objectives of the department and Planned Parenthood of Greater Ohio (PPGOH), including the planning, implementation, administration, and evaluation of clinical programs and services.
- Works with the Health Services Leadership team and CFO to define and manage budgets for all health centers, ensuring efficient allocation of resources.
- Ensures all staff understand and are committed to customer-focused service delivery, and ensures patient complaints are addressed promptly in accordance with agency policies and a focus on service recovery.
- Monitors the implementation of agency policies and administrative processes in health centers to ensure compliance and effectiveness.
- Collaborates with the Health Services Leadership team in strategic planning, goal setting, and budgeting processes, while identifying new funding opportunities for existing and new programs.
- Perform periodic site audits to assess standardization, efficiency and adherence to policies and procedures.

- Develops and modifies programs and services based on community needs, agency goals, and fiscal and administrative guidelines.
- Supports compliance with Title X, 340B, and other grant funding programs, ensuring appropriate documentation and reporting.
- Utilizes data from health center departments, as well as local and national trends, to inform decision- making, and reports on business performance, patient satisfaction, and associate engagement.
- Builds and maintains strong relationships with affiliate leadership and staff to foster collaboration and ensure effective operations across all health centers.
- Works with the Director of Data Analytics and Informatics to oversee the operationalization and support of the EMR system within health services.
- Attends organizational meetings, workshops, and conferences at the affiliate and national levels, representing the agency as needed.

EDUCATION and/or EXPERIENCE
- Bachelor's degree in Healthcare Administration, Business Administration, or a related field. Graduate degree preferred. Additional experience will be considered in lieu of a degree.
- Minimum of 5 years of progressive experience in healthcare operation management, preferably in a multi- site environment.
- Experience with abortion services and experience in health center management is desirable.
- Strong understanding of healthcare regulations and compliance requirements.
- Demonstrated experience in managing budgets, financial reporting, and resource allocation.
- Experience with process improvement methodologies and implementation.
- Proven ability to lead and motivate teams, build consensus, and foster a positive work environment.
- Experience in developing and implementing operational policies and procedures.
- Experience working with electronic health records (EHR) systems.
