Summer Events Associate

Conference Services hosts thousands of guests on campus over the Summer through academic programs, sports camps, alumni events, retreats, and conferences. Reporting to the Director of Conference Services, a Summer Event Associate will act as a key liaison between the external program directors as well as the College's key support staff departments such as the Student Center Staff, Athletics, Residence Life, Buildings & Grounds, Dining Services, Public Safety, and IT. A Summer Event Associate will ensure the athletic, residential, and conference spaces used by Curry's Summer programs will be set-up to the programs specifications, and tended to at a frequency that is tenable by the program. Our Summer Event Associates play an integral role in ensuring that our clients receive excellent service during their stay on campus. Summer Event Associates will be in constant contact with the Director of Conference Services to ensure the programs needs are being satisfied. Summer Event Associates execute event details, check on event venues throughout the day, and provide supervision to groups on campus. The position provides professional development opportunities, a fun and fast paced work environment, requires lodging on campus in order to provide the best services possible, and dining on campus while programs are eating.

Essential Functions:

1. Residence Hall Preparations:
  • Prepare all Room Keys based on the Housing Roster that is given to you by the Director of Conference Services;
  • Walk through all the Rooms based on the Housing Roster that is given to you by the Director of Conference Services for cleanliness, damage, and appropriate setup. Report any issues to the Director;
  • Attend residential program move-in(s) to give the Program Director their Room Keys, and to ensure no issues arise during move-in. Attend residential program move-out(s) to collect Room Keys from the Program Director;
  • Conduct a post-program key inventory to see if all the Keys were returned;
  • Performs post-departure building walkthroughs, noting room conditions, and report any issues to the Director;
  • Summer Event Associates will be given access to the Residence Hall Master Keys. Summer Event Associates are responsible for the keys if you check them out; be careful and vigilant with them, and do not possess the keys longer than is necessary.

2. Facility Setups:
  • If needed, assist Curry's Buildings & Grounds team or Student Center team with event set-ups. If needed, this can include setting up tables and chairs for a programs desired set-up needs;
  • If needed, assist Curry's Buildings & Grounds team with Athletic Field setups. If needed, this can include moving nets, goals, and field lining;
  • Regularly check on venues as advised by the Director to ensure that the set-up has not changed, cleanliness, IT equipment works, and that the venue is fully unlocked and accessible for the program. Report any issues to the Director;
  • Deliver Water Jugs to necessary Athletic Programs that require this as needed. Regularly check on these to ensure they are not empty;
  • Assist the Director with Road Signage as needed.

3. Customer Service & Communication:
  • When on-shift, be able to respond to the Director of Conference Services quickly and efficiently;
  • When off-shift, be able to respond to the Director of Conference Services incase if a current on-campus problem is occurring that needs attention;
  • Be respectful and professional when interacting with guests; be helpful, friendly, and willing to assist conference guests in any way possible.; have a friendly and personable demeanor;
  • Make sure Program Directors know how to contact you, and your other Summer Event Associates;
  • Meet daily with Program Staff to ensure their experience is positive; report and address any feedback on issues/concerns to the Director of Conference Services;
  • Responsible for handling last minute requests, and providing assistance to the Director of Conference Services and program;
  • Respond to any reported maintenance and other issues as they arise; report the issue to the Director of Conference Services.

4. Overnight On-Call Rotation:
  • Participates in on-call rotation with other Summer Event Associates to ensure smooth operation of program(s) evening activities;
  • Assists residential program(s) room lockouts overnight;
  • Communicates to Curry Public Safety for emergency situation responses.

Additional Functions:
  • As needed, serve in an on-call capacity; assist with last minute requests;
  • Maintain a professional and positive attitude when interacting with teammates, College Staff, and Guests;
  • Perform other duties as assigned by the Director of Conferences;
  • Respect and maintain confidentiality, parameters of operation, professional protocols, and individual privacy.

Minimum Qualifications:
  • High School diploma.
  • 1-3 years of relevant work experience with Customer Service.
  • Knowledge of Microsoft Programs (Outlook, Word, Excel, etc.).
  • Must be available all Summer (May 19 - August 15, inc. holidays).
  • Able to work flexible schedule, including evenings and weekends.
  • Capable of efficiently communicating with the Director, and other Summer Event Associates.
  • Professional Attire.

Preferred Qualifications:
  • Experience in Curry Residence Life and Housing.
  • Experience with Curry Student Center.
