Position Overview

Provides administrative and clerical support to relieve department managers or staff of administrative details. May coordinate messages, appointments, information to callers, file maintenance, department office supplies and mail. Researches, compiles and proofs word processing assignments. Operates automated office equipment. May be assigned to various functional areas of the company. Employees matched to this job family should perform general administrative duties, such as administrative support of department managers.



Responsibilities

ADMINISTRATION:

- Schedules 645 AESS Commander's calendar, travel and Provides a strong communication between the commander's office and the squadron
- Must have strong understanding of programs - 17 total
- Assures office procedures are followed through in a timely manner
- Knowledge to answer questions that may arise for any occasion and assures protocol for High Ranking officials (O6-O10, SES)
- Records, prepares, and distributes weekly staff meeting minutes
- Create and distribute information sheets to 645 AESS members requesting pertinent information to be able to be entered into the system
- Calculated the estimated costs for member's travel and Reviews DTS
- Prepares travel order request from assigned members and works with various travel budgets to guarantee that proper funds were used for appropriate travel
- At completion of the travel, reviews completed Travel Voucher, for completeness
- Reviews, updates and validates scheduled leave in the Leave Web system for 645 AESS personnel
- Runs 45 day review of the AF Forms 1483 and 1134 for commander's signature
- Maintains main supply and special orders for office personnel and Receives and sorts mail for 645 AESS distribution
- Coordinates office space for new personnel and requires facilities work order to reconfigure office space if needed and requests IT coordination to move computer station and phone lines
- Submits work orders for phone changes for new personnel; sets up office for new personnel
- Coordinates Air Force retirements; Reserve venue; Create/Mail retirement invitations; Assembles squadron plaques and montages; designs retirement brochure and coordinates printing of retirement certificates
- Insures ceremonial attendees are assigned
- Coordinates with on site facilities for trouble tickets
- Creates LOAs for L3 personnel and other contractors
- Acts as local Riverside Research Human Resource and resolves issues at local level
- Directs unresolved issue to upper level departments
- Keeps level of communication between local personnel and Corporate
- Assumes duties of the receptionist in her absence

SECURITY

- Ensures all classified information and that containing Social Security Account Numbers is
placed in safe at the end of the day
-Maintains security request information for incoming visitors when primary is not present
-Coordinates with on Site Company for security badging procedures when primary is not present
-Must have a strong trust and confidential relationship with personnel
-Manages both the Product Assurance and Engineering security doors when primary is not present



Qualifications

-Minimum of 5 years of related experience with a Bachelor's degree, 3 years with a Master's degree, PhD without experience or equivalent work experience is typically required for an employee at this level.

-Must be proficient in MS Office, including Outlook, Word, Excel, and Power Point.
-Maintain an Active Secret security clearance and be willing to apply for a TS/SCI, if required.
-Experience receiving and storing classified documents and equipment
-Office files maintenance and distribution

Global Comp

$75,000 - $86,000 This represents the typical compensation range for this position based on experience, location and other factors.
