The Department of Pharmacology in the College of Medicine-Tucson invites applications for the position of Academic Administrative Professional II. This position supports the Department Head by managing their calendar, scheduling meetings, and assisting with special projects. The role also includes coordinating the Graduate Program in Pharmacology and the MS in Perfusion Science Program with minimal supervision. Additionally, the candidate will collaborate with faculty, support Department of Pharmacology operations, oversee Faculty Affairs processes, and ensure compliance with University and ABOR policies. Duties & Responsibilities |
- Coordinate recruitment for and admissions to the Graduate Program in Pharmacology and the MS Degree Program in Perfusion Sciences.
- Assist in managing new and continuing Graduate Research Assistant (GRA) appointments; create GRA offer letters and coordinate their execution; ensure that all GRAs are hired and contracts are signed in a timely way.
- Provide guidance to faculty in curriculum development and process online actions for curriculum and course modifications, new courses, and related actions.
- Assist in overseeing the departments Seminar Series; create announcements, arrange venues and itineraries, interact with guest speakers and coordinate all travel arrangements.
- Stay up to date on university's policies and procedures in regards to graduate programs.
- Advise the Department Head and the Pharmacology P&T committee regarding all aspects of faculty recruitment, appointment, annual review, promotion and retention processes. Serve as point of contact for College of Medicine (COM) Faculty Affairs for all departmental actions.
- Utilize expertise to advise faculty on content and ensure that dossiers are prepared in accordance with COM timelines, processes and policies. Draft and assemble materials for the appointment and promotion dossiers as needed.
- Advise on policies and procedures for all faculty employment activities, including recruitment, initial hires, 3rd year reviews, promotions and tenure, emeritus, part-time/temporary faculty, administrative and courtesy appointments.
- Assist Graduate students with all aspects of their enrollment, ensuring all required milestones are completed.
- Collaborate with the Director of Graduate Studies and Perfusion Program Director to manage courses for both programs, coordinating the review and modification of each semester's schedule of classes during the open scheduling period and ensuring that schedules of classes are up-to-date and accurate.
- Collect and analyze data to assess and evaluate effectiveness. Act as liaison between departments and Graduate College.
- Maintain department records related to graduate program, department and degree requirements.
- Coordinate the annual faculty review process, including distributing and collecting evaluation documents.
- Assist implementing new processes based on University and College policies.
- Collect, organize and present data on all aspects of faculty performance by mission for each faculty member for use in the annual faculty review process.
- Coordinate all logistical aspects of visits for faculty including online and in-person interviews. Maintain records documenting search, recruitment, and appointment/promotion processes.
- Plan and organize virtual and in-person events relating to recruitment, philanthropy, research dissemination, etc. Attend monthly faculty meetings; take and prepare minutes.
- Create anonymous electronic ballots for all faculty votes; tally the votes and report the results.
- Collect and analyze data for teaching mission, faculty demographics for strategic initiatives and department Academic
- Performance review, prepare reports for the Department Head.
- Administer listservs through UA email list service.

Minimum Qualifications |
- Bachelor's degree or equivalent advanced learning attained through professional level experience required.
- Minimum of 3 years of relevant work experience, or equivalent combination of education and work experience.
