Job Description:

Position Summary:

The Mortgage Systems Administrator role serves as a subject matter expert for the Mortgage Loan Origination System, Pricing Engine and Client Relationship Manager system. This role will be responsible for communicating and supporting system enhancements, provide end user support, workflow management, configure and implement process improvement, optimize performance and manage the roadmap for Encompass. The incumbent will be responsible for hands-on technical management, support of other mortgage related systems, and work with business partners to provide system solutions.

Primary Responsibilities and Duties:

  • Administers the company's Loan Origination System (Encompass), Pricing Engine (ICE PPE), and Client Relationship Manager (Total Expert), along with multiple mortgage related website end user issues.
  • Manage user setup, roles and security, customization of fields, and page layouts within Encompass.
  • Develop and provide training for staff on new features and system updates, and maintain system documentation, including process workflows and user guides.
  • Provide first-level support to loan officers, processors, underwriters, and other staff members, resolving issues in a timely manner.
  • Provide Mortgage LOS, pricing engine and CRM training to users.
  • Assist end users with their daily questions, concerns and proper usage of the system.
  • Responsible for monitoring Encompass Help Desk system, and documenting, processing and addressing issues with requests. Implement change requests and enhancements to system functionality.
  • Creates, maintains, and analyzes business rules, including advanced coding as necessary.
  • Monitor systems and processes to ensure they meet or exceed established standards and service level agreements for availability, continuity, performance, and security.
  • Participate in design, testing, and implementation of new products and/or services
  • Ensures that proposed solutions work as desired through system analysis, testing, and maintenance.
  • Review Encompass and system release notes to work with department heads for system or process-flow changes as needed.
  • Provides recommendations for process-flow improvements.
  • Support systems and processes ensuring timely and effective resolutions for incidents and problems through the maintenance of system documentation, collaboration and escalation, and constant communication with effected parties.
  • Maintain complete document library, build custom documents as needed and maintain eFolder settings to ensure preservation of a complete paperless environment with requisite document retention.
  • Works closely with management and business users to build and analyze reports and implement solutions for our Encompass system.
  • Supports mortgage projects in line with Everwise Credit Union's vision for the Mortgage Lending Department.
  • Configure vendor integrations and user access of 3rd party vendors and services.
  • Identify and assist with changes to systems and processes and procedures by working with internal and vendor resources through the change process, ensuring that changes meet stated expectations, documenting change activities and updating system documentation, and communicating service impact to affected parties.
  • Assume additional responsibilities as necessary for the continued growth and advancement of the credit union.

Knowledge/Skills:

  • Experience with Microsoft Operating Systems, and Office applications
  • SQL Server experience preferred
  • Experience in planning, implementing, testing, and troubleshooting applications
  • Experience in integrating vendor services and applications, preferably with Fintech
  • Excellent interpersonal and communication skills
  • Ability to work independently and collaboratively across departments, ensuring system support meets business needs.
  • Strong problem-solving skills and follow through with resolution and communicate status updates
  • Ability to identify, troubleshoot, and resolve system issues effectively.
  • Strong organizational and time management skills to manage multiple tasks and meet deadline; successfully engage in multiple initiatives simultaneously.
  • Detail oriented
  • Drive to constantly learn new technologies and technical skills
  • Capability to identify hidden issues and provide accurate analysis
  • Understanding of mortgage processes, from origination to closing, and regulatory requirements impacting the industry.

Minimum Requirements:

  • Bachelor's degree in applied science, Business or a related field preferred
  • 3+ years' financial or mortgage industry experience
  • 1+ year experience as Encompass administrator preferred
  • Encompass Administrator Certification preferred.
