Required Qualifications (as evidenced by an attached resume):
Bachelor's degree (foreign equivalent or higher). One (1) year of full-time experience in the planning and execution of student events/programs or in advising students/student organizations and student leadership development/training, including but not limited to: Student Activities, Residence Life, and/or Orientation programming (part-time student experience may be prorated to meet the full-time experience requirement). Experience working with a diverse student body in a collegiate setting. Frequently lifts and/or moves up to 40 pounds.

Preferred Qualifications:
Master's degree (foreign equivalent or higher) in Higher Education Administration, Student Personnel, Educational Leadership, Counseling, Social Welfare, or a related field. Experience with student advising. Supervisory experience. Experience with web-based information systems (i.e., Anthology, Presence, etc.) and/or event scheduling systems (i.e., 25Live, etc.). Experience with marketing and communications, including social media content management. Experience building assessment tools and/or analyzing assessment data.

Brief Description of Duties:
As an integral part of the Division of Student Affairs, Student Life, and Student Engagement and Activities teams, the Coordinator is vital in creating and maintaining a vibrant campus life and promoting student engagement. Reporting to the Assistant Director for Student Engagement and Activities, the Coordinator helps to enhance the educational experience of Stony Brook students through facilitating students' development of, exposure to, and engagement with programs, events, organizations, and other opportunities.
The Coordinator supports the management of the department's programming board and weekly and traditional programming efforts. and the conceptualization, design, planning, implementation, and evaluation of a comprehensive programming model responsive to student needs & enhances campus community.
The Coordinator assists with all department functions, including major programming and event planning; student staff supervision; student organization advising, development, risk management, and administration; marketing and assessment.
The successful incumbent will have excellent customer service and interpersonal skills, exercising strong organizational and time-management skills with exceptional attention to detail. Essential for this role is the ability to work independently and as part of a team with a collaborative approach to problem-solving. A brief description of responsibilities includes, but is not limited to:
Weekend Life and Major Programs/Traditions



  • Work with the Assistant Director to lead the planning and implementation of a cohesive programming model and schedule to enhance a sense of campus community, specifically focusing on evening and weekend life, programming for special populations, off-campus trips, and campus traditions.
  • Build upon and expand relationships, collaborations, and programs to support efforts and cultivate new opportunities to cultivate a sense of belonging, campus vibrancy, spirit, and pride.
  • Provide on-site event support at area evening and weekend events, trips, and initiatives as necessary/in reference to risk level.
  • Assist with the planning, executing, and assessing departmental and divisional initiatives, including Involvement Fairs, Student Life Awards, Weeks of Welcome, Homecoming, and other initiatives to promote involvement as assigned. As needed, assist with planning and/or provide on-site leadership and support at student organization and departmental events. Maintain up-to-date knowledge of research and best practices related to program and event planning and recommend changes for continuous improvement.


Departmental Programming, Operations, and Divisional Service



  • Serve as branch administrator and assist with maintenance and utility of the university's online student engagement platform known locally as "SB Engaged" as needed.
  • Assist in department administration, including policy review and development, creating/supporting programs, goal setting, marketing, and strategic planning efforts. Attend and participate in team meetings.
  • Develop and disseminate data collection and assessment efforts as needed to measure and communicate outcomes/outputs. Coordinate changes under findings to ensure responsiveness to student needs.
  • Assist with ongoing financial analysis and accountability for departmental budget, including but not limited to monitoring expenditures, managing purchase requisitions, and tracking account balances.
  • Assist with departmental and area marketing and communication efforts to enhance the visibility of and/or engagement with departmental resources and involvement opportunities, including developing/editing fliers, reels, and other promotional event materials.
  • Serve on and support relevant departmental, divisional, and university committees as needed and assigned. Represent the office at requested training/presentations and University-wide programs, including, but not limited to, Orientation, Admitted Student Days, etc.


Staff Training, Development, and Supervision



  • Supervise a team of approximately 8-10 student staff and interns. Conduct regular supervision and staff meetings to provide direction, support, and development on their functional responsibilities. Assist with managing area student payroll.
  • Assist in recruiting, selecting, onboarding, training, and recognizing student staff and interns across the department.
  • Create a welcoming, professional working environment and student-centered atmosphere focused on customer service and student development.


Student Organization Advising, Administration, Risk Management, and Leadership Development



  • Serve as program advisor to recognized student organizations. Provide support, training, guidance, and development with program and event planning, as well as organizational management. Review and approve 25Live reservations and SB Engaged event request forms. Work with assigned organizations to provide support and advice to ensure success, adherence to departmental, University, and SUNY policies, and limit risk. Attend Event Management and Program Advisor meetings and training as needed.
  • Assist with student organizational conduct investigations as needed.


Professional Development and Committee Involvement



  • Participates in opportunities that promote their learning, growth, and development (i.e., classes, training, committees, webinars).
  • Contributes to the Division of Student Affairs and Stony Brook University by attending and/or supporting events, activities, and programs sponsored by areas within and outside the Office of Student Life (i.e., campus-wide traditions, events, programs).
  • Other duties or projects as assigned as appropriate to rank and departmental mission.
  • Evening and weekend hours may be required at times.


Special Notes:
This is a full-time appointment. FLSA Non Exempt position, eligible for the overtime provisions of the FLSA.

In addition to the employee's base salary, this position is eligible for $3,400 UUP annual location pay, paid biweekly.

Essential Position: This has been designated as an essential position based on the duties of the job and the functions performed. Positions that are designated as such may be required to report to work/remain at work even if classes are canceled, and the campus is working on limited operations in an emergency.
