Dispatch Portals Administrator

We are seeking an experienced and detail-oriented Dispatch Portals Administrator to join our team. The successful candidate will be responsible for managing and maintaining our dispatch portal systems, ensuring smooth operations, and providing technical support to our dispatch team. The ideal candidate will have excellent analytical and problem-solving skills, with the ability to work efficiently in a fast-paced environment.

Key Responsibilities:
Monitor and analyze portal system performance, identifying areas for improvement and implementing changes as needed

Provide training and support to new dispatch team members on portal system usage

Ensure accurate understanding of customer and project needs to facilitate correct billing and collaborate with Service Technicians to meet expectations.

Submit customer quotes in a timely manner Update all necessary portals with notes and ETAs within in 24 hours of service

Coordinates with the Parts Department related to the re-scheduling of calls with parts ordered and backordered

Make data-driven decisions based on geographic analysis, customer needs, and technician strengths

Manages inbound and outbound communications via email, customer portals, and phone calls, ensuring timely responses and effective issue resolution

Requirements:

  • 2+ years of experience in a similar role, or equivalent experience in dispatch operations or IT
  • Skilled in Microsoft Office applications, including Word, Excel, and Outlook
  • Excellent analytical, problem-solving, and communication skills
  • Ability to work efficiently in a fast-paced environment
  • Detail oriented
  • Adhere to data security and compliance policies
  • Strong work ethic and ability to learn and think quickly and creatively are essential
  • Ability to work collaboratively with cross functional teams

Work Environment: The position will operate in an office environment. Horizon Bradco operates Monday-Friday 8:00AM - 5:00PM. Dispatch portal admin is required to work in the office during normal business hours or pre-arranged schedule based on manager's approval. Dress is casual to business casual.

Position Type/Expected Hours of Work: This is a full time, non-exempt hourly position. Hours per week = 40. 4-5 overtime hours are typical and may at times be required in order to meet customer demands.
