Overview

Perform back office support to the Mortgage Lending Department and Mortgage Servicing Department.

Responsibilities

    Follow instructions from and report all problems to the Mortgage Servicing Manager.
  • Responsible for filing documents and maintaining accurate files for Mortgage Lending Department.
  • Pull mortgage files upon request.
  • Ensure all recorded and Legal Documents are filed in a timely manner.
  • Ensure all previously pulled Mortgage files are filed back in the vault in a timely manner.
  • Maintain accurate filing system for closed mortgage loans and comply with record retention guidelines. Box and coordinate scanning and shipment within record retention guidelines.
  • Paid off/closed mortgage files -
    • pending release process
    • post release
    • Withdrawn/Rejected retention and rotation
    • Foreclosed real property
    • Pre-Qualifications
    • Bankrupt mortgage files
    • Construction - in progress
    • Flood
  • Keep and maintain the vault in a clean and orderly fashion.
  • Insurance (daily)
  • Receipt stamp all insurance policies upon receipt.
  • Copy all multi-policy notices for member separation
  • Separate cancellations from renewals
  • Research by member and subject property address for appropriate loan number recording on the policy (Datasafe and FICS)
  • Scan and file the non-escrow policies in to the member mortgage files
  • Scan and file for escrow accounts - update .EAS with current payee number (insurance provider) premium amount, policy due date, policy number (MISC 1), insurance provider (MISC 2), etc.
  • Files all escrow policies in member mortgage file when MSR process is complete
  • File Home Equity Insurance policies and notifications in Mortgage file.
  • Verify Address Changes in DataSafe and FICS MS as submitted by the IT Department.
  • Mail - (daily - incoming department mail distribution)
  • Date stamp all mail upon receipt.
  • Distribute mail to appropriate employee designated on the envelope (interoffice or other)
  • Identify and forward mail intended for Legal and other departments
  • Research all mail that is not specifically addressed for proper and timely distribution
  • Assist in special and/or mass mailings.
  • Read all internal publications including Source and Possibilities.


Qualifications

Education:

  • High school graduate or equivalent.

Knowledge, Skills and Abilities:

  • Must be able to communicate with members and co-workers in a positive manner.
  • Must be accurate in all job duties to provide high, quality job performance.
  • Regular and reliable attendance is required.
  • Working knowledge of computer programs including Microsoft Word, Microsoft Excel and Excel SQL, Microsoft Outlook, Datasafe, Datasafe Navigator, and FICS.
  • Must have ability to operate or have ability to be trained to operate related office equipment, including calculator, receipt printers, computer terminal, multifunction copier, personal computer, telephone and typewriter.
