MAJOR RESPONSIBILITY:
Performs accounting and bookkeeping work and analysis, purchasing and cash needs, and assists in all financial management phases at the CF Appleton Museum of Art.

PREREQUISITES FOR POSITION (Qualification Standards):
- Education or training: High school diploma or equivalent required. Associate degree or higher preferred, preferably in a field related to accounting and budget coordination.
- Years of experience in the field: Three years of full-time experience in the maintenance of bookkeeping and accounts payable records, and /or general financial management is preferred. A degree in a related field of study may be considered for the required work experience.
- Special skills or abilities related to the position: Positive human relations skills. Knowledge of business English, spelling, and punctuation. Strong organizational skills. Knowledge of accounting practices and principles. Knowledge of procedures relating to grants as applicable to educational and cultural institutions. Knowledge of the techniques used in statistical analysis. Knowledge of basic financial software systems.
Highly organized with the ability to maintain general bookkeeping and accounting records. Ability to establish and maintain effective working relationships with employees and the public. Ability to perform research relating to accounting records. Ability to comprehend and interpret grant budgets and legal requirements. Ability to use common business computer software and to learn financial software systems mandatory for the position.
ESSENTIAL JOB FUNCTIONS:
May be assigned to perform a combination of the following tasks to support specific office functions:
- Prepare the first draft of the annual budget for the museum.
- Prepare and enter accounts payable information on the payables system. Maintain purchase order files. Monitor monthly, quarterly, and yearly financial reports.
- Maintain a working relationship with museum vendors regarding accounts payable.
- Assist museum, Foundation, and college personnel with payables and/or grant questions.
- Prepare manual checks when required.
- Analyze grants and projects for the museum, including budget analysis, maintenance of files, and project status. Monitor monthly, quarterly, and yearly reports.
- Responsible for daily reconciliation and daily deposits for the museum.
- Assist the custodian of projects with narratives, forecasts, state contracts, or fiscal management of their projects. Meet with administrators relating to project projections and progress.
- Monitor departmental budgets and provide analysis. Assist museum personnel with fiscal and budget questions.
- Research and compile various reports and financial statistics. Perform evaluations offiscal projects for the supervisor and division VP.
- Provide information and guidance on college fiscal policies and procedures formuseum staff.
- Work with CF Foundation staff personnel to process and reconcile charitable gifts,(including payments from endowments) and process donor thank you letters and receipts.
- Act as liaison between the college business office, purchasing office, and museumstaff.
- Other duties as assigned.
