Sr. Payroll Specialist

The Senior Payroll Specialist is responsible for ensuring the accuracy, compliance, and efficiency of the company's payroll processes. This role builds upon the responsibilities of a Payroll Specialist by taking on more complex payroll functions, providing guidance and mentorship to payroll team members, and troubleshooting payroll discrepancies. The Senior Payroll Specialist will work closely with payroll leadership, HR, and finance to maintain flawless payroll execution, regulatory compliance, and continuous process improvement.

The Position:

  • Payroll Processing & Compliance
    • Ensure accurate and timely weekly payroll processing, including hours, rates,
      deductions, garnishments, and benefits.
    • Conduct compliance checks to ensure payroll adheres to federal, state, and local
      regulations, as well as collective bargaining agreements (CBAs).
    • Manage and processing complex deductions (garnishments, levies, and child
      support orders)
    • Perform payroll reconciliations to verify accuracy and resolve discrepancies.
  • Audit, Reporting & Data Analysis
    • Review and audit payroll records for errors, inconsistencies, and compliance risks.
    • Generate detailed payroll reports on trends, compliance, and financial impacts for
      leadership.
    • Monitor and maintain payroll metrics, ensuring adherence to internal policies
  • Troubleshooting & Issue Resolution
    • Act as first-line escalation for payroll-related inquiries from employees and
      managers.
    • Identify root causes of payroll discrepancies and implement corrective actions.
    • Collaborate with finance, HR, and union representatives to resolve payroll concerns.
  • Process Improvement & System Optimization
    • Recommend and implement payroll process enhancements to increase efficiency
      and accuracy.
    • Assist in testing and implementing payroll system updates and integrations.
    • Maintain and update payroll documentation and procedures to ensure clarity and
      consistency.
  • Mentorship & Team Collaboration
    • Provide guidance, training, and support to Payroll Specialists on complex payroll
      issues.
    • Serve as a backup for payroll leadership when needed.
    • Act as a liaison between payroll, HR, finance, and operations to ensure seamless
      payroll execution.

The Candidate:

  • Five or more years of payroll experience, with a strong understanding of multi-state
    payroll processing.
  • Advanced knowledge of payroll laws, tax regulations, and compliance
    requirements.
  • Experience with union payroll, prevailing wage, and certified payroll reporting
    (preferred).
  • Strong proficiency in payroll systems (e.g., CMiC) and Microsoft Excel (VLOOKUPs,
    pivot tables, formulas).
  • Exceptional problem-solving, analytical, and auditing skills.
  • Strong communication and interpersonal skills, with the ability to explain payroll
    concepts to employees and managers.
  • Ability to manage multiple priorities and meet strict deadlines in a fast-paced
    environment.
