Job Summary

The Metrology Administrator provides administrative support and training to the Metrology and Field Calibration department. Maintains field calibration projects, all field project information, scheduling, document processing, handle routine questions, problems, interface with other departments, process customer and field equipment, create and maintain an organizational system for easy retrieval of ongoing Metrology and Field Calibration information.



On-Site Expectations

    Hybrid role with 3 days per week expected on-site.
  • 1st Shift: Monday - Friday, 8:00am - 5:00pm.


Responsibilities

  • Generate/format reports from database for upcoming Field projects.
  • Coordinate with the Field Supervisor to staff upcoming projects.
  • Coordinate with Sales for onboarding new Field customers, including onsite visits.
  • Review customers' project requirements and coordinate between Field Team and customer.
  • Scheduling and delegation of Field Service projects and project calendar maintenance.
  • Project staging up to and including staging field equipment and certificate preparation.
  • Reconcile customer spreadsheets for billing purposes.
  • Field Project calendar maintenance and upkeep.
  • Process Field Calibration certificates through Metrology Database or customer specified database.
  • Review Field Calibration certificates, letters, and other Metrology documents for accuracy.
  • Effectively communicate with Field Customers' and/or contracted customers to obtain important information for projects.
  • Metrology and Field project database maintenance or customer specified database.
  • Entering Field technicians' hours and receipts into databases.
  • Handle Field customer calls and correspondences.
  • Schedule and expedite all internal and customer equipment calibrations using current database and/or customer specific database.
  • Ship or email completed calibration certificates to customers.
  • Maintain organization, improve efficiency and retrieval of Metrology and Field Services information.
  • Provide process and procedure training for the administrative department at contracted customer company.
  • Coordinate travel arrangements for Field team.
  • Support Metrology business at customer contracted company.
  • Plan, schedule, and coordinate workload at customer contracted company, as needed.
  • Work with approved vendors to obtain 3rd party calibration quotes.
  • Process Metrology and customer equipment to vendors for repair/calibration.
  • Equipment tracking for verifications and calibrations for Metrology.
  • Process incoming and outgoing customers and Alcami equipment using current databases.
  • Effectively communicate important issues or potential problems with management, customers, and staff.
  • Understand and update interval and tolerance relating to calibration and customer preferences.
  • Schedule and prepare documents for weekly meetings.
  • General administrative duties which include data entry, copy, fax, scan, and file documents.
  • Demonstrate ability to prioritize.
  • Demonstrate problem solving abilities.
  • Maintain good housekeeping practices.
  • Abide by ISO 17025 principles.
  • Other duties assigned.


Qualifications

  • Associate's degree or equivalent experience.
  • 4-5 years' office experience.

  • Experience in an ISO or GMP facility.
  • Strong knowledge of Microsoft Office applications.
  • Strong attention to detail.
  • Excellent organizational and interpersonal skills.

Travel Expectations

  • Off-site travel to other Alcami sites as needed to support business needs.
