Job Summary:

The Admissions and Records Assistant is responsible for assisting and maintaining various aspects of graduate admissions operations functions, including, but not limited to: processing paper and online applications and all related functions; act as lead contact for questions pertaining to the application process, workflows, and verification of application documents and completeness of applications; responsible for creating, updating and maintaining application checklists and materials for applications processed; receiving, processing and responding to application deferral requests (electronic, emailed, paper); reviewing, researching and responding to in-progress applicants regarding missing documents; assisting with processing admission documents, such as transcripts, test scores, recommendations, etc., including imaging documents and logging documents into Slate, Banner and miscellaneous databases; corresponding with applicants regarding admissions application and supporting documents; assisting with general file creation and maintenance.

Assist with reviewing and responding to emails from the graduate admissions departmental email account; receive and return phone calls from applicants or prospective students and provide assistance as it relates to admissions operations, or refer callers with warm hand-off to respective departments. Utilize Slate queries to perform daily operations, such as duplicate detection merges, verification of uploaded documents, document verification and cleanup, ensure data integrity, email/communication lists, and other duties as assigned.

Job Description:

  • Daily review and maintenance of operations queries in Slate to ensure data integrity and cleanup.

  • Assist with processing of all admission documents sent in support of applications, such as transcripts, test scores, recommendations, department memos, etc., including retrieving and imaging documents and logging documents into Slate.

  • Corresponding with applicants regarding admissions application and supporting documents.

  • Merge duplicate records.

  • Assist with reviewing files for completeness and release files to program review queues; back up for processing admission decisions.

  • Process applications (paper and online) all related functions such as creating, updating, and maintaining application checklist materials.

  • Assist with processing and responding to all graduate applications submitted (electronic, emailed, and paper).

  • Act as lead to receive, process, and respond to all deferral requests. Process admission decisions for Graduate Student-at-Large applications.

  • Assist with reviewing and responding to emails from the admissions departmental email account.

  • Receive and return phone calls from applications or prospective students and provide assistance as it relates to admissions operations, or refer callers with warm hand-off to respective departments.

  • Performs relative duties as assigned.

Minimal Qualifications:

1. High school diploma or equivalent.

2. Any one or combination totaling one (1) year (12 months) from the categories below:

A. Coursework in any discipline as measured by the following conversion table or its proportional equivalent:

  • 30 semester hours equals one (1) year (12 months)

B. Work experience in administrative support, admissions and enrollment, customer service, public relations, records management, or closely related experience.

Hourly: $18.00

Hours: Monday - Friday, 8:30AM - 4:30 PM (Hours may vary depending on departmental needs)

This position requires a background check.
