Summary:
Provides administrative assistance to the Retail Wine Division. Reports directly to the Retail Wine Division Manager but supports all Retail Wine Managers and Sales Representatives. Organizes and maintains systems, reporting, filing, communications, and calendars for the division. Other duties and responsibilities listed below.
Essential Duties and Responsibilities:
- Compose and type routine correspondence using word processing programs.
- Compose spreadsheet and presentations using appropriate software.
- Order supplies for the Retail Wine Division.
- Coordinates Manager's schedule and make appointments. Answers incoming calls and responds appropriately. Answers supplier questions and requests.
- Organizes, updates, and maintains file system, and files correspondence and other records. Retrieve files as needed.
- Runs various computer reports (i.e., month end reports) for suppliers and Empire Management and deliver as scheduled.
- Prepare daily trackers by Area Managers and District Managers on Focus Brands. Assist Sales Reps in the process of requesting samples.
- Process Chargebacks, Expense reports, and Incentives. Maintain Chargebacks.
- Update Calendar with supplier work withs & meetings for Retail & Fine Wine
- Maintain Chain Contracts
- Check all Expense Reports - (dates, amounts & addition) Fine Wine & Retail Wine
- Maintain & deliver monthly chain spreadsheets
- Create and maintain chain trackers weekly
- Preparation of Manager and General Sales Meetings. Prepare Diver reports.
- Prepares outgoing mail and correspondence, including e-mail and faxes. Provides back-up administrative support to other Sales Divisions as needed. Other duties as assigned by the Sales Manager.
- Assists in correspondence with all suppliers.
- Assists in keeping all supplier, sales territory, and division data up to date.
- Manages MS Teams communication portal.
- Updates and maintains chain programming trackers via Excel and Go Spot Check.
- Other duties as assigned by the Division Manager.

- Analytical - Proper use and evaluation of Excel and SAP data.
Education and/or Experience
- High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience.

Computer Skills
- Microsoft Office Suite Proficiency with an emphasis on Excel.
