Job Summary

Provides day-to-day administrative support to Substation Operations employees and management including general data entry, bargaining unit payroll entry and reconciliation, filings, processing of expense reports, assisting with meetings, events, and travel arrangements, operational record keeping/reporting, and invoicing activities.


Essential Functions

  • Perform administrative and clerical duties, monitor work quantity/quality, and analyze workflows
  • Utilize Coupa for purchasing and receiving office supplies, office equipment
  • Process P-Card expense reports and travel expenses via OnePay system
  • Manage the ordering and repair activities of department cell phones
  • Maintain and enter payroll data of bargaining unit employees in SAP/Time Capture application
  • Reconcile employee payroll issues and prepare various payroll requests
  • Process electronic invoices and payments in Coupa
  • Update and maintain confidential personnel data/files
  • Establish and maintain filing systems, including archiving
  • EOP Data Administrator; enter data, answer phones
  • Generate over-under time reports and work to clear error logs
  • Coordinate travel and expense reimbursements for employees
  • Periodically coordinate meetings and trainings
  • Employee Self-Service - Engage/Re-engage/Terminate/Recertifications
  • Maintain Contractor badges and invoices as needed
  • Prepare Purchase Requisitions for approval and processing
  • Point of contact for bargaining unit employees to aid in time processing



Education Description

Requires a high school diploma or equivalent knowledge of English, basic mathematics (add, subtract, multiply, divide, calculate fractions and calculate percentages), grammar, spelling and punctuation.


Experience

Requires a minimum of two years of administrative/clerical experience, including proficiency with word processing, invoicing, spreadsheet, and email software. Requires experience with sensitive and proprietary documentation. Experience with presentation and/or database software preferred.


Physical Requirements

  • Ability to lift up to 15 pounds, carry, push, and pull or otherwise move objects
  • Ability to bend and stoop
  • Ability to sit and view computer screen for extended periods of time
  • Ability to demonstrate manual dexterity to operate computer and other office equipment
  • Ability to work in an office environment w/o windows.
  • Ability to work overtime



Working Conditions


  • Ability to perform work indoors in an office environment and outdoors occasionally
  • Ability to work a varied schedule to complete projects and meet deadlines in response to changing demands
  • Ability to travel to attend meetings, industry or professional association conferences and stay overnight as required
