JOB SUMMARY: The Marketing Coordinator I is an integral part of a dynamic marketing team and requires entry level experience in helping with customer and employee event logistics, sponsorship management, brand advertisement, go to market strategies and other marketing operational support tactics. The role collaborates with the VP of Marketing, various members within the marketing team and business stakeholders in evaluating opportunities to enhance the experience our customers and employees have when engaging with our brand. This position also works closely with both Western States and Caterpillar stakeholders to ensure strategic alignment leading to desired business results. ESSENTIAL FUNCTIONS: Safety
- Actively cares, promotes, manages, and advocates safety at Western States. As a leader and team member in the organization, it is critical to ensure all employees, vendors, and clients have a safe work environment while adhering to all applicable safety policies, procedures and standards.
- Maintains clean/clutter free work areas to ensure safe environments for all WSECO employees.
- Adheres to required personal protective equipment (PPE) as identified in safety policy.
Event Coordination
- Assists in the planning and execution of company events such as conferences, tradeshows, and customer meetings.
- Supports logistical tasks, including travel arrangements, venue coordination, event registration, and material creation.
- Supports trade show logistics including booth preparation and shipping of materials.
- Attends events to assist with setup and teardown, registration, staffing, and other support functions as needed.
- Provides support in seeking bids, purchasing supplies, and tracking budget and other metrics.
- Ensures appropriate tactics are in place to retrieve lead generation data.
- Travels as needed.
Sponsorship & Brand Advertising
- Helps maintain relationships with sponsors, ensuring the delivery of agreed-upon deliverables.
- Assists in fulfilling sponsorship benefits, including ads, logo placement and promotional messaging, through various media channels.
- Coordinates the integration of branding and advertisements in trade shows, conferences, and other events.
- Ensures advertisements are appropriately displayed, making certain they align with brand guidelines and event objectives.
- Helps create and coordinate sponsorship packages that outline benefits, including brand advertising opportunities across digital, print, and event platforms.
Traditional Media Support
- Assists in coordinating traditional media campaigns, including print advertisements, radio, and TV placements.
- Helps design and manage brand advertisement materials, ensuring consistency with brand guidelines.
- Tracks the performance of advertisements, collecting metrics such as reach, impressions, and audience engagement to report back to the team.
- Supports media buying processes by helping identify the most effective platforms for placing ads and coordinating ad placements with external media agencies.
Brand Management
- Supports "Excellence" Programs and other Western States initiatives.
- Safeguards the Cat and Western States brand identities as established in the guidelines and expectations.
- Assists in maintaining the product content library (e.g., product & solution descriptions, case studies, FAQs).
SKILLS, KNOWLEDGE, AND ABILITIES:
- Knowledge of marketing techniques.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, etc.).
- Familiarity with CRM systems, event management platforms, and data reporting tools.
- Basic knowledge of marketing automation tools and project management platforms (e.g., Microsoft Dynamics Customer Insights & Journeys, HubSpot, Asana).
- Knowledge of Adobe Creative Suite, Canva, or similar design software would be a plus.
- Strong written and verbal communication skills.
- Ability to work collaboratively across various departments.
- Comfortable in a fast-paced, dynamic environment and able to prioritize tasks effectively.
- Ability to manage multiple projects and tasks simultaneously.
- Ability to coordinate logistics such as travel arrangements, registration, and material production.
- Capable of managing tight timelines under pressure.
- Strong attention to detail and organizational skills.
EDUCATION AND EXPERIENCE:
- Bachelor's degree in Marketing, Communications, Graphic Design, or a related field preferred.
- Minimum of one year of experience in marketing, event planning, or related roles.
- Valid Driver's License and acceptable driving record required.
- Must be able to communicate (speak, read, comprehend, write in English); Spanish would be a plus.
PHYSICAL CHARACTERISTICS:
- Frequent walking, standing, driving, pushing, pulling, lifting, bending, climbing, twisting and leaning required.
- Must be able to lift a minimum of 35lbs.
- Must be able to meet all safety requirements for applicable safety policies.
