Under general supervision the Provider Payments Assistant will provide support to the department specifically in the area of document management.

Essential Duties And Responsibilities

Within the team structure, provide support services to department staff, which include the following responsibilities:

* Distribute work among the support team according to scheduled rotation, pick up mail from the Customer Service Center, troubleshoot when delivery destination is unclear and redirect any misdirected mail. 10%
* Receive documents via Customer Service Center, U.S. Mail, and Interoffice from the satellite office. Date stamp, bar code scan and distribute to department staff per current procedures. 25%
* Receive documents after they are processed for payment and file. File first electronically via scanning images to electronic filing software; then file hard copy documents. 40%
* Provide electronic images and/or hard copies of documents to requestors (auditors and internal requests). Request both retrieval and re-filing of boxes of documents from offsite storage when necessary. 10%
* Provide language translation assistance to Payment Specialists as needed. 15%

Non-Essential Duties And Responsibilities

These duties include tasks that are required, but currently comprise of less than 5% of the daily workflow for this job:

* Prepare documents for off-site storage including boxing, labeling and preparing transmittal sheets. Maintain transmittal sheets for reference when needing to request documents from storage.
* Prepare monthly mailing of payment documents to providers in coordination with the Business Center. In addition, manually mail payment documents that are not sent via Business Center.
* Participate in departmental, agency and professional meetings and workgroups, as assigned.
* Submit reports to management as assigned.
* In coordination with supervisor, complete purchase requests and maintain in an orderly fashion the inventories of department envelopes, forms, printer cartridges, and other office supplies as assigned.
* All other duties that may be required as assigned.

We have doubled in size over the past 10 years. We provide child development and early education, workforce development opportunities, child care financial assistance, Head Start preschool and Early Head Start services and more for close to 50,000 parents, children, and child care providers each month in Northern Los Angeles County, including Antelope Valley, and the entirety of San Bernardino County, including an office in Victorville, serving a total geographic area of 22,500 square miles.
