Job Summary:

The Office Coordinator is responsible for ensuring smooth day-to-day operations of the office by handling administrative tasks, coordinating office activities, and providing support to both internal staff and external visitors. This role requires excellent communication, organizational, and multitasking skills, with a particular emphasis on mail management and reception duties. This role will report into Corporate HR and also support HR and other office departments with additional administrative duties.

Essential Duties and Responsibilities:



  • Receive, sort, and distribute incoming mail, packages, and deliveries to the appropriate staff members or departments.
  • Process outgoing mail, including sorting, preparing for shipment, and ensuring proper postage is applied.
  • Handle sensitive or confidential mail, ensuring it is delivered securely and promptly.
  • Make bank deposits, as needed, for Hood and Catamount
  • Ensure office common areas are tidy and organized, including restocking supplies in kitchens, meeting rooms, copy stations and empty cubes.
  • Oversee office supply inventory and place orders as necessary for both the office and our staff.
  • Primary back up for receptionist with duties to include: answering and directing calls, greeting visitors, coordinate booking meeting rooms, etc.
  • Main point of contact for various vendors to include, Iron Mountain Shred Bins, Nestle Water Coolers, Fed Ex, etc
  • Liaise with building management to address any maintenance or safety issues that arise. Email notifications to office employees communicated by landlord related to office and building updates, etc.
  • Communicate with building management, cleaners and office vendors about maintenance needs, cleaning schedules, etc.
  • Support the corporate HR Team with administrative duties as needed.
  • Assist other office departments with various ad hoc projects that could include mass mailers, printing and organizing invoices, and meeting preparation.
  • Additional duties as needed including supporting all administrative duties in the office and ensure that the office is operating effectively.


Education and Experience:



  • High school diploma or equivalent. Associates degree preferred
  • 3+ years of related experience; administrative or office support role
  • Prior use of Pitney Bowes mail machine, or something similar preferred
  • Familiar with Fed Ex shipping system
  • Must be proficient with Microsoft Office Suite


Skills and Competencies:



  • Excellent communication and interpersonal skills.
  • Reliability and dependability are a must.
  • Ability to multitask and handle various duties with attention to detail.
  • Strong organizational and time management skills, as well as the ability to prioritize
  • Strong customer service skills and a pleasant, professional demeanor.
  • Experience handling mail and deliveries in an office setting is preferred.
  • Ability to work independently and as part of a team.
  • Ability to lift and carry packages or office supplies weighing up to 20lbs, and be able to use a dolly to transport packages.
  • Ability to sit or stand for extended periods.
  • Must have a valid driver's license and reliable transportation.
