Pay Rate/Range: The budgeted salary range that the University reasonably expects to pay for this position is $27.55 to $29.25/hour. Salary offers are determined based on final candidate qualifications and experience; the budget for the position; and the application of fair, equitable, and consistent pay practices at the University. The full salary range for this position is $25.77 to $43.58/hour.

The Office of International Students and Scholars (OISS) at the University of California, Santa Barbara (UCSB) serves the needs of international students and scholars as well as the UCSB community who work with this international population. OISS provides administrative assistance, counseling, advising, and programming to the campus community. The staff meet with students and scholars about immigration, employment, housing, health care, financial concerns, academic problems, travel, and personal issues.

Brief Summary of Job Duties:

Responsible for providing basic immigration and campus resource advising to students on F-1 and J-1 visas and scholars on J-1 and H-1B visas. As a Designated School Official and Alternate Responsible Officer the Intake Advisor processes initial I-20 and DS-2019 requests, reviews arrival documents and provides travel signatures to international students. Advises on and reviews Optional Practical Training for F-1 students. Supports the J-1 scholar team as the case coordinator by reviewing department and scholar requests in UCSBGlobal. Communicates with departments and scholars regarding missing information or documentation pertaining to J-1 DS-2019 requests. Supports the Employment Based Visa team with file maintenance, posting notices and distribution of immigration paperwork to departments and scholars. Regularly reviews data in Sunapsis to ensure accurate immigration recordkeeping.

Required Qualifications:

  • Bachelor's degree in related area and / or equivalent experience / training
  • 1-3 years of experience working with an information database (student or customer information system).
  • 1-3 years Multicultural competencies; ability to work with diverse populations.
  • 1-3 years Excellent computer skills including advanced proficiency in Word, Excel, and PowerPoint, and demonstrated ability to quickly learn various software programs.

Preferred Qualifications:

  • 1 or more years of experience in an international office.
  • 1-3 years working in an office environment.
  • 1 or more years of customer service experience.
  • International experience (learning, living, and/or working abroad).
  • Experience interpreting and implementing university/higher education policies, procedures, rules, and regulations.

Special Conditions of Employment:

  • Must be a citizen or permanent resident of the U.S. in order to be authorized to use the Department of Homeland Security SEVIS database.
  • May be called upon to work occasional nights and weekends.
  • Satisfactory criminal history background check

Misconduct Disclosure Requirement:

Job Functions and Percentages of Time:

  • 25% Student Advising & Processing - Serves as initial intake advisor to international students at UC Santa Barbara. Triages the student's issues and advises them on basic immigration regulations as outlined by the Department of Homeland Security in 8 CFR *214.1 Serves as a Designated School Official and Alternate Responsible Officer to create initial I-20 and DS-2019 forms in Sunapsis for incoming international students on F-1 or J-1 visas. Reviews arrival documents and reported information submitted by students for accuracy and advises regarding discrepancies. Provides travel signatures to students. Issues letters to international students applying for a Social Security Number or International Tax Identification Number.
  • 20% Scholar Case Coordination - Advises J-1 scholars on basic immigration information as outlined by the Department of State. Assists the scholar team with case coordination by reviewing requests submitted by both departments and scholars and provides corrective feedback regarding submissions as necessary. Provides travel signatures to J-1 scholars. Advises scholars and departments on H-1B immigration policies maintained by the United States Citizenship & Immigration Services and Department of Labor. Maintain files for Employment Based Visa scholars and alerting Employment Based Visa team about any incomplete records or files * Assists with Labor Condition Posting notices ensuring they are posted and removed in the appropriate time frames as directed by Employment Based Visa advisors.
  • 5% Programming Support - Supports the programming coordinator in creating and organizing events for international students and scholars. Under direction from the programming coordinator, creates events in Shoreline, produces marketing materials in Canva and assists with event set up as needed. Assists with outreach to student groups regarding collaboration opportunities with OISS.
  • 50% Optional Practical Training - Advises F-1 students on Optional Practical Training (OPT) policies and procedures such as USCIS application, ensuring required employment reporting is being processed and advising students on their post-graduation employment authorization. Works in the Sunapsis system to review OPT requests from students. Participates in OPT presentations to students. Guides UC Santa Barbara academic departments regarding questions related to OPT to ensure requests are processed correctly by academic or faculty advisor. Supports students post-graduation while they are on OPT with required reporting, travel signatures and updated I-20 issuance. Stays up to date on OPT policies released by United States Citizenship & Immigration Services (USCIS) to ensure proper advising of international students. Assists students to troubleshoot USCIS application providing guidance on filing the I-765 in the online USCIS system. Advises students in STEM fields on the 2 year STEM OPT Extension. Reviews the USCIS I-983 forms to ensure that they are completed correctly in alignment with USCIS regulations. Collaborates with the international student advisor 3s to process STEM OPT applications and required student check-in milestones set forth by USCIS. This is critical to student's meeting required post-completion work authorization regulations, failure to do so will invalidate their ability to apply for future immigration benefits including the H-1B or Green Card. Attends USCIS stakeholder meetings when available.
