Accounting Assistant

Accounting Assistant is responsible for processing cash receipts, processing journal entries, auditing college expense reports, assisting with accounts payable processes and performing monthly account reconciliations.

Duties:

Cash Receipts:



  • Upload weekly miscellaneous cash receipts received from campus departments. Maintain all-access Google sheet used for collecting coding.
  • Process enrollment deposits for incoming students.
  • Process student tuition payments
  • Process customer payments


Accounts Payable:



  • Confirm ACH information for new suppliers and new ACH information for existing suppliers, ensuring accuracy of information
  • Monitor and review all cash advances issued to employees. Ensure that advances are properly cleared, including documentation and necessary accounting entries. Also ensure that the maximum number of cash advances outstanding is not exceeded.
  • Serve as backup to Accounts Payable coordinator by entering invoices, preparing direct deposits, printing checks, reviewing documentation for checks/direct deposits, and researching vendor/employee questions.


Journal Entries:



  • Enter journal entries received from campus departments, assist with questions about journal entries, ensure journal entry procedures are followed.


Expense Reports:



  • Assist with processing of corporate expense reports, including review of corporate purchasing card charges to ensure proper documentation and sales tax reporting.
  • Daily review of employee reimbursement submissions to ensure proper documentation and sales tax reporting.


Other duties as assigned, including but not limited to:



  • Assist with account reconciliations and audit preparation.
  • Ongoing review of documentation for update and accuracy as processes change and/or updates are implemented.
  • Respond to information requests from campus constituents.
  • Assist with projects and audit requests as needed.


Requirements:

Associate's degree; Minimum of five years of Accounting/Bookkeeping experience. Bachelor's degree is preferred. Experience with processing a high volume of transactions, reconciling accounts, and basic accounting knowledge. Proficiency in banking software, Microsoft Excel, and an administrative software system like Banner or Oracle. Strong verbal and written communication skills and the ability to provide great customer service to a variety of customers. Strong attention to detail.
