Summary

Supports the administrative duties associated with external contingency staff by providing daily support for the regional Resource Management leaders in the recruitment, onboarding and invoice management processes and ensures accurate use of organizational policies and procedures. Critical thinking, collaborative decision making, high attention to detail, and the ability to function under pressure with the focus remaining on caring customer service is essential.

Job Duties

  • Monitor daily position control reports for new, approved traveler requests and enters approved traveler requests and all specific position information into the appropriate VMS system.
  • Responsible for supporting the invoice reconciliation process by verifying agency invoices against the payroll system and resolving invoice discrepancies ahead of submission to accounts payable.
  • Communicates with and supports the interprofessional team and designated care partners.
  • Monitors VMS system for vendor candidates that have been submitted to requesting nurse manager. Verifies viable candidates' eligibility for hire.
  • Coordinators the onboarding process for accepted candidates based on regional protocols.
  • Monitor VMS system for contract termination dates and coordinate the extension process with regional staffing office leader and agency program manager.
  • Acts as a resource to unit and divisional leadership for training needs and is identified as a super user of each agencies vendor management system.
  • Supports the vendor management platform by ensuring unit descriptions, cost center and unit leadership information is accurate and updated as needed.

Minimum Qualifications
  • High School Diploma/GED
  • 3 years of administrative experience in a fast-paced customer service or medical environment.
  • Ability to complete delegated tasks within scope of role.
  • Knowledge of people with diverse backgrounds and the ability to convey respect and connect effectively.
  • Understanding of effective communication concepts, tools and techniques, ability to effectively transmit, receive, and accurately interpret ideas, information, and needs through the application of appropriate communication behaviors.

Preferred Qualifications
  • Bachelor's Degree in related field.
  • Familiarity with medical terminology.

Physical Demands

Lift and carry 25 lbs. frequent sitting/standing, frequent keyboard use, *patient care providers may be required to perform activities specific to their role including kneeling, bending, squatting and performing CPR.
