The UCI Donald Bren School of Information and Computer Sciences Marketing and Communications team is responsible for maintaining and uplifting the School's reputation across a broad spectrum of internal and external audiences, including students, alumni, donors, faculty, staff, media and the public. In support of the Dean's priorities for the School, we partner with staff, faculty and researchers to promote the School's work through news releases, events, and digital and print platforms. Our office provides strategic guidance and support on marketing and communications best practices, websites, graphic design, media relations, social media and engagement.


Your Role on the Team

Under the primary supervision of the Communications Director, the Communications Admin Coordinator will provide extensive operational and administrative support for the Communications team within the School of Information and Computer Sciences. This will include administrative duties for team projects and campaigns; providing day-to-day support including purchasing, inventory and scheduling; compiling briefing documents for the Director and assisting with content coordination across a variety of channels, including newsletters, website and social media.

Objectives of the position include increasing operational efficiency through best-practice administration, and maintaining the positive reputation of the School and Office through effective project management and stakeholder liaison.

All members of the Office of Communications should feel comfortable working with a variety of constituencies, including community members, faculty members, and staff throughout the School and University. The expected pay range for this recruitment is $31.72- $34.70 (Hourly).

Required:

  • Excellent organizational skills with significant administration or office management experience. Ability to work independently, take initiative and follow through on assigned tasks to completion.
  • Excellent time management, with experience in maintaining calendars using a variety of sources and coordinating scheduling of tasks to enable teams to meet project deadlines.
  • Ability to use sound judgment in responding to issues and concerns. Skill to analyze situations, define problems, identify and anticipate outcomes, and to recommend and implement solutions.
  • Strong written and verbal communication skills. Ability to communicate effectively and appropriately with a variety of audiences and stakeholders. Strong interpersonal skills. Ability to work cooperatively within a team, develop and maintain effective working relationships, maintain confidentiality and understand a range of perspectives.
  • Experience managing invoicing, tracking expenditures, reporting financial data and raising purchase requests.
  • Working knowledge of common organizational software-based productivity and collaboration tools such as MS Office and/or Google Workspace.
  • Knowledge of and experience in using mailer tools and website platforms such as Campaign Monitor and WordPress or demonstrated ability to become proficient with training.
  • A minimum of 3 years of experience

Preferred:

  • Previous experience in a marketing and communications office or similar environment in a large institution; knowledge of the dynamics of marketing and communications at academic institutions.
  • Experience in posting content on social media platforms, particularly LinkedIn and Instagram, and understanding of their audiences.
  • Knowledge of UCI financial environment including Kuali Financial Systems (KFS), fund accounting, purchasing, UCI Foundation policies and procedures, campus online systems and websites.
  • Knowledge of and demonstrated commitment to digital accessibility principles
