The Wounded Warrior Project (WWP) Bequest Specialist provides support to the Legal department and performs duties associated with bequests administration, e.g., trusts, estates, and financial beneficiary designations, under the supervision of the Bequests Manager, Legal Services. The Bequest Specialist is a resource and liaison for the Legal department with internal WWP departments, e.g., Resource Development, Finance/Accounting, and Records Management, and serves as the external liaison with other bequest-related entities and individuals including attorneys, financial advisors, trustees, and personal representatives.

DUTIES & RESPONSIBILITIES

  • Provide support to the Legal department and perform duties associated with bequests administration (e.g., trusts, estates, and financial beneficiary designations.
  • Receive, read, review, analyze, interpret, and approve bequest-related legal, non-legal, and financial notices, correspondence, and other documentation.
  • Coordinate and conduct the gathering and compiling of information, materials, documents, and other such records to successfully facilitate bequest distributions for the organization.
  • Plan, prepare, draft, produce, and present, for both internal and external needs and purposes, information, materials, documents, correspondence, reports, presentations, and other such records.
  • Create, organize, and maintain paper and electronic filing systems for information, materials, documents, correspondence, and other such records as needed, in a logical and easily retrievable manner.
  • Research, assess, evaluate, report, and perform quality assurance tasks regarding bequest-related policies, procedures, and practices to maintain and enhance continuity of bequest-related services and operations.
  • Maintain regular consultation, communication, and coordination, as necessary and applicable, with the General Counsel, Bequests Manager, staff attorneys, paralegals, and outside counsel whenever bequest-related judgment, opinion, or advice is requested or required.
  • Cultivate relationships with essential external parties such as attorneys, accountants, financial advisors, and fiduciaries over the course of bequests administration.
  • Maintain regular communication with WWP teams, departments, staff, and teammates, whenever related judgment, opinion, and/or advice is requested and/or required.
  • Coordinate and communicate constructively and collaboratively among Legal, Resource Development, Finance/Accounting, and Records Management teams and teammates to ensure and effectuate continuity of support and administrative bequest-related services and operations.
  • Effectively utilize CRM and relevant data points to track and monitor administrative duties.
  • Plan, coordinate, conduct, and report on meetings.
  • Maintain safeguards of confidential company information and personally identifying information.
  • Other duties as assigned.

KNOWLEDGE, SKILLS, & ABILITIES

  • Basic understanding of trust and estate laws, including restricted gifts, charitable trusts, and other philanthropic planning vehicles.
  • Excellent communication skills with the tactfulness, maturity, and flexibility to interact with a variety of professional disciplines, both internal and external to WWP, including attorneys, financial advisors, trustees, and personal representatives.
  • Strong organizational and time management skills. Demonstrated ability to quickly adapt to changing priorities, prioritize, and effectively handle multiple priorities with tight deadlines.
  • Ability to interact effectively with diverse individuals and establish and build effective working relationships internally and externally.
  • Understanding of relationship management and partnering. Exceptional interpersonal skills.
  • Strong attention to detail.
  • Continual learning to enhance knowledge in bequests and planned giving to better support the organization.
  • Demonstrated understanding of Wounded Warrior Project and its mission, values, programs and services, and the impact of these programs and services on wounded warriors and their families.
  • Effective use of Salesforce CRM and Microsoft Office, e.g., Word, Excel, PowerPoint, Outlook.
  • High energy, self-motivated, extremely detail oriented, dependable, and supportive individual with ability to take initiative, multi-task, thrive under pressure, and produce high-quality deliverables in a timely fashion.
  • Able to work effectively in an environment requiring independent and creative efforts and maintain a flexible work schedule.
