Primary Responsibilities
Project Support:
Provide project management team with detailed project reporting and updates.
Administer project and contract activities, including analysis and record maintenance.
Oversee project document control and management.
Track and monitor project CDRLs and correspondence logs.
Coordinate maintenance for fleet and service vehicles, cranes, fire extinguishers, etc. with accurate record keeping
Process work orders and quality checks within Maximo.
Handle demand requisitions (DR) in Maximo and associated pre-purchase requests (PrePR) in SAP.
Maintain databases for supplier purchase orders (POs) and warranties, ensuring accuracy and tracking critical details such as end dates and remaining funds.
Administrative Duties:
Create and manage documents in MS Word, Excel (including pivot tables and VLOOKUP), and PowerPoint.
Prepare printed materials and coordinate both onsite and offsite events.
Scan and upload documents as necessary.
Coordinate and schedule department meetings, including taking and preparing meeting minutes.
Maintain correspondence and reports, ensuring SharePoint documentation is current and organized.
Conduct documentation reviews and draft letters based on meeting discussions.
Perform research and generate reports as needed.
Develop and implement office procedures to ensure smooth operations.
Manage filing systems for working documents and correspondence.
Willing to work flexibly and efficiently in support of the project which may include working extended hours
Work independently on difficult and complex administrative assignments.
Performs other responsibilities associated with this position as may be requested or required.
Skills and Competencies
Strong understanding of administrative practices, business English, and office procedures.
Proficiency in advanced IT tools, including MS Office and telephone systems.
Expertise in research, reporting, and summarization techniques.
High-level organizational skills, with the ability to prioritize tasks effectively.
Strong interpersonal and communication skills, both verbal and written.
Ability to work independently on complex assignments and manage confidential information.
Detail-oriented with a proven ability to handle critical situations efficiently.
Requirements
Minimum of three (3) years' experience as an Administrative Assistant or in a similar role.
Bachelor's degree from an accredited college.
At least five (5) years of experience in an office environment.
Proven typing proficiency of 60 WPM or higher.

The salary range for this position is $71,440 - 107,160.
Final pay is determined by the candidate's experience, skillset and ability level, internal equity and location.
