DESCRIPTION

The Front Desk Coordinator is responsible for professionally and compassionately greeting patients and their family members, as well as accurately and promptly completing admission and registration processes for all new or established patients. Conducts rounds in the waiting area to update patients on their expected wait times. Utilizes proper "scripting" with patients as deemed appropriate. Operates EPIC system to gain and input information; in addition, responsible for clearly and effectively relaying medical messages to patient/clinic staff.

The coordinator schedules clinic appointments, manages flow of patient records by verifying demographic information with patient and/or guarantor, verifies co-pay and insurance eligibility, obtains patient/guarantor signature for consent for treatment, obtains signature for financial agreements, ensures that the patients have secured authorization and referral when scheduling appointments, collects patient liability, prepares daily deposit, scans identification and insurance cards, obtains consent forms, collects co-pays, interviews patients via telephone to obtain demographic and financial information necessary to secure patient account. Checks EPIC Inbox messages daily and within two business days, responds to/resolves customer-related issues, or escalates matter to Clinic Lead or Manager within 6 to 8 hours when needed.

The coordinator maintains a clean and orderly waiting area. Informs manager or lead when available for additional work assignments. Prepares workstation at the beginning of shift, cleans up area at the end of shift. Additionally, this role is responsible for other front and back-office administrative duties. Assists co-workers with their tasks. Maintains a safe and neat work environment. Assists in training new employees. Communicates status of workstation to lead at the end of shift. May perform other related duties as assigned.

MINIMIMUM QUALIFICATIONS
  • A minimum of three (3) years previous related experience in a large complex healthcare setting.

  • Demonstrated experience handling scheduling, registration, and authorization.

  • Proven experience in working with Health Insurance companies and Community Medical Groups.

  • Demonstrated knowledge of various insurance including HMO, PPO, POS, etc.

  • Demonstrated computer skills and be able to work between multiple systems during calls.

  • Strong problem-solving ability by using good judgment and applying these skills to assist customers and ensure customers' expectations are met.

  • Proven ability to work in an interactive environment and possess excellent customer service skills both in person and over phone.

  • Excellent communication skills with the ability to communicate clearly both verbally and in writing.

  • Proficiency using Microsoft Applications i.e., Outlook Email, Outlook Calendar, Teams, Word and Excel. Proven computer skills and be able to work between multiple systems during calls.

  • Strong organizational skills. Ability to set priorities, handle deadlines and manage conflicting demands with limited supervision.

  • Ability to work in an interactive environment and possess excellent customer service skills both in person and over the phone. Be able to maintain strict confidentiality. Be a self-starter who is accountable, open to new ideas, creative, and flexible.

PREFERRED QUALIFICATIONS
  • Excellent knowledge of English grammar, spelling, punctuation, and sentence structure/formats, demonstrated skill in composing correspondence.
  • Proven knowledge of third-party payors including federal, state, and private health plans.
  • Previous experience in admissions/registration in a large, complex healthcare setting.
  • Previous experience in a Memory, Geriatrics, or Psychiatry setting.
  • Bilingual English/Spanish.
  • Strong analytical and problem-solving skills, with the ability to assess clinic needs, optimize scheduling, and ensure efficient referral distribution.
  • Demonstrated computer skills and be able to work between multiple systems during calls.
  • Experience using EPIC Cadence.
SPECIAL CONDITIIONS
  • Must be able to work various hours and locations based on business needs.

Pay Transparency Act

Annual Full Pay Range: $54,664 - $67,944 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $26.18 - $32.54

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
