****MUST have a detailed understanding of national accreditation policies and hospital policies. ****NOTE - this role pays anywhere from 40K to 54K, based on years of relevant experience. *Administrative: 50% - Provides confidential secretarial and administrative support to include data entry and coordination, mailings, general tasks, scheduling meetings, and generating meeting minutes. *GME: 40% - Coordinates and supports the graduate and undergraduate function with program directors and/or Senior Program Coordinator to ensure programs remain in good standing with VCU Health Systems Graduate Medical Education (GME), Accreditation Council for Graduate Medical Education (ACGME), and Office of the Chief Medical Examiner (OCME). *Undergraduate Medical Education: 10% - Organizes and coordinates the medical and dental undergraduate programs as well as any other student laboratories and lectures for the Department of Pathology. Essential Job Statements Researches and resolves invoice and payment issues related to purchase orders and vendor invoices; enters purchase orders into system to assist in procurement of equipment, software, and services; tracks and monitors purchase orders; updates and maintains records of financial transactions and vendor contracts; and other support activities as requested ensuring the smooth flow of work through the department. Procures and maintains all materials, specimens, and equipment essential for each class. May act as theprimary liaison with the Office of Graduate Medical Education, School of Medicine (SOM) Curriculum Office, and the ACGME. Coordinates and schedules activities with students, residents, fellows, program directors, and Vice Chair for Education. Assists with on and off-boarding fellows and residents. Supports the Dermatopathology path fellowship. Travels to Office of the Chief Medical Examiner (OCME) office as scheduled. Prepares and is present and on call during each scheduled teaching laboratory. Maintains (cleans) and inventories supplies and specimens pertinent to ongoing teaching programs. Acts as a liaison resource for students/faculty in daily dept. relations and functions. Performs fiscal, bookkeeping, and accounting-related duties in preparing and maintaining fiscal, accounts payable-related records and reports. Ensures activities, meetings, and events are scheduled accurately; provides timely information to assist with scheduling; and handles urgent and sensitive information daily while maintaining office confidentiality. Requires the learning, knowledge, and application of VCUHS policies and procedures. Serve as primary designee for section-specific schedules, including approval of vacation requests and scheduling changes. May be responsible for activities such as recruiting trainees and trainee evaluations, analyzing administrative workflow, prioritizing tasks, and project management as needed to meet deadlines, report compilation, database maintenance, and program relations/communications both externally and internally to ensure all parties are aware of important deadlines. Performs other duties as assigned and/or participates in special projects, as needed. Accepts alternate assignments, as required.
