Description

The primary function is to perform duties and responsibilities for the medical outpatient clinic of the Neuroscience Institute, which includes but is not limited to, Psychiatry and Neurology. This position aids in the courteous and efficient operation of the clinical reception area.


Examples of Duties

SCHEDULING 40%
* Assists in entering and maintaining provider profiles.
* Assists in entering schedules for physicians into IDX system.
* Schedules patient appointments.
* Enters canceled and no-show appointments into IDX system.
* Reviews patient demographics and updates them in the IDX system.
* Receives requests and records information for consultation requests.

CLINICAL OFFICE RECEPTION/REGISTRATION 40%
* Registers new patients and verifies all patient demographic and insurance information.
* Updates and enters information into the IDX system.
* Acquires signatures from patient forms as requested.
* Receives incoming calls, screening them carefully, and directs them to the appropriate personnel, announcing the caller to the recipient.
* Confirms new patient appointments.
* Assists with Medical Record as needed.
* Maintains upkeep of the reception area and clinical business office, including the maintenance of a clean/professional work area.
* Explains departmental policies regarding payment at time of service, warning letters, patient care funds, and scheduling to patients as needed.

CASHIERING AND INSURANCE PROCESSING 10%

* Documents payment or reason for non-payment.
* Receives payment, and prepares receipt for patient.
* Prepares month-end cash box totals for Bursar.
* In the absence of insurance staff, works appointment list for authorization, co-pay and other details.

OTHER RESPONSIBILITIES 10%
* Assists in training new staff on Medical Office Associate role and assists in general aspects of operations of the outpatient clinics.
* Insures that patient charts are prepared in advance for new patient evaluations, including releases of information for referral source.
* Attends clinic meetings and other departmental information meetings as requested.
* Participates in outpatient emergency procedures as necessary.


Qualifications

  1. High school diploma or equivalent.
  2. Any one or any combination totaling one (1) year (12 months), from the categories below:
    1. Work experience comparable to that performed at the Medical Office Assistant level or in other positions of comparable responsibility.
    2. Work experience in a health care facility such as a doctor's, dentist's, or hospital's office; which involved record keeping, working with the public, direct patient contact, answering telephones, and working with medical terminology.
    3. Graduation from an accredited medical secretarial or paramedical program, such as nursing assistant, medical assistant, or medical secretary.
