POSITION TITLE: OFFICE MANAGER - SAN DIEGO SUMMARY DESCRIPTION: The Office Manager coordinates the day-to-day administrative operations of the office. This person will manage the maintenance of various databases, coordinate purchasing and accounting, human resource functions, safety, training, and personnel qualification functions. The Office Manager will interact with company personnel and external clients and vendors. This position is located in San Diego, California and reports directly to the Area Manager. CLASSIFICATION: Exempt (salaried) DUTIES AND RESPONSIBILITIES:
- Coordinate operational and administrative support for the office.
- Manage the San Diego office's purchasing, receiving, and commercial invoicing functions in accordance with established Phoenix processes.
- Maintain Navy and commercial job cost administration using Phoenix accounting database.
- Maintain HAZMAT, safety, qualification, and training databases.
- Coordinate training for San Diego personnel.
- Coordinate with purchasing department in support of purchasing functions.
- Maintain continuity with vendors.
- Liaison to HR department and Payroll for all new hires, personnel requirements, and timesheet issues and submissions.
- Perform job support administrative functions for Project and Diving Operations Managers as directed.
- Promote and ensure compliance with Phoenix's safety programs, quality management system (QMS), and company policies, processes, and procedures.
- Perform basic office functions, including acting as a receptionist, copying, filing, faxing, answering phones, and meeting or event preparations.
- Other duties as assigned.
JOB REQUIREMENTS:
- Minimum 5 years of experience in administrative and financial functions.
- Excellent organizational, interpersonal and communication (written and verbal) skills.
- Attention to detail and high level of accuracy and ability to meet critical deadlines and manage multiple priorities in a fast-paced environment.
- Proficient in the use of Word, Excel, PowerPoint, Access, and Adobe Acrobat Writer.
- Experience in Microsoft Dynamics - Solomons preferred.
- Ability to research via internet.
- Ability to pass a pre-employment drug/alcohol screen and background check.
