Job Summary: We are looking for a dynamic Sales Support Specialist to join our team and play a pivotal role in our business operations. This is more than just a support role; you will be at the heart of our internal sales process, bridging communication between IES employees and customers while collaborating closely with our estimating team to craft winning bid proposals and pre-qualifications. What You'll Do: Prequalifications: Lead the preparation, submission, and maintenance of prequalification documents. Organize and keep folders and portals up to date. Bids: Analyze and dissect RFPs to create, compile, write, proof, and edit compelling, professional content that sets our company apart. Ensure every submission gives the best first impression. Document Management: Create and maintain organizational charts, resumes, bios, contractor licenses, manufacturing and industry certifications, project experience, references, and highlights. Setups: Manage the setup process for new customers, vendors, suppliers, and subcontractors. Legal Compliance: Ensure legal compliance in all documents and processes, including agreements, bids, bonds, and certifications. Cross-Departmental Support: Provide support for various business functions, including safety, quality, marketing, finance, training, human resources, operations, and IT. Team Collaboration: Participate in bi-weekly Team meetings, contributing to discussions and aligning with team goals. Marketing Support: Collaborate with the Marketing Team to create and distribute brochures, flyers, and other promotional materials. Champion Company Policies: Uphold and enforce company policies, standard operating procedures, and job safety requirements (O.S.H.A.), ensuring a safe and compliant workplace. Your Background: High School Diploma or GED required; Associate degree preferred. Experience in customer interface roles, acting as a liaison between the customer and the Company. Minimum of two (2) years in a professional environment, ideally working with executive-level staff. Experience in managing or supporting projects, particularly in sales or marketing, helping to organize and maintain the required documents and tasks. Experience in marketing communications, particularly creating, editing, and maintaining brand-compliant materials, ensuring consistency in pre-qualification statements, proposals, and presentations. Experience in technical writing, with skills in drafting and editing clear, concise, and well-organized documents such as proposals and pre-qualification statements. Background in legal compliance, especially in contracts, vendor agreements, and pre-qualification statements, ensuring all documentation meets legal and regulatory requirements. Experience in contract administration, including preparing, negotiating, and managing contracts, which is beneficial for understanding the legal and financial aspects of vendor/customer/subcontractor setups. Experience in business development, particularly in identifying new opportunities, understanding market trends, and supporting the sales team in expanding the business. Desire to grow into a leadership position within the company. Qualifications Physical and Mental Requirements: Must exhibit a positive, professional attitude and be a team player. Ability to create presentations, charts, graphs, animation, videos, graphics and reports is critical. Must be able to be adaptable and pick up new techniques. Must be able to interface well with IES clients, prospects, and business partners on a regular basis. Must exhibit good interpersonal skills and communicate well over the phone and in person. Must be able to travel as needed. Education, Certification, License, and Skill Requirements: Must have at least High School diploma or GED equivalency; Associates Degree preferred. Must be proficient in Photoshop, Illustrator or other visual design tools. Must be proficient with Microsoft Office (Word, Excel, PowerPoint and Outlook). Must be up to date with the latest trends, techniques and technologies. Must have excellent visual design skills with sensitivity to user-system interaction. Must have experience in customer interface, such as liaison between the customer and the Company. Must be detail oriented, and have good people, customer service skills. Must have good written and oral communications skills. Must be able to multi-task. Managing the efforts of multiple people and departments to achieve desired results, collaborating extensively. Must be able to prioritize. Must present a neat professional appearance. Must be creative and think outside the box. Prefer a minimum of two (2) years working in an environment dealing with executive level staff. Prior experience in sales environment, both face-to-face and phone, preferred. Must meet Company minimum driving standards.
