Job Summary The Student Services Specialist is responsible for providing comprehensive services to new and continuing students on the frontline by phone, email, and chats with accuracy and exceptional customer service. This position performs a wide variety of functions, including but not limited to the determination of residency tuition rate, enrollment into classes, provide direction for special admissions and concurrent enrollment, process identity authentication, transcript evaluation, and working on outbound call campaigns. The candidate should have strong written and verbal communication skills to problem solve and troubleshoot student issues. The successful candidate will have a high level of attention to detail and be self-motivated with the ability to work in a collaborative team environment while following federal, state, and district policies. Applicants should embrace a service-first, solutions-focused approach when working with a diverse population of students, faculty, and staff. The position will work on-campus. Essential Functions 30% - Assist new and continuing students with all aspects of the admissions, records, and registration functions. To include, student enrollment for both credit and non-credit programs. Supports the A&R front counter and welcome desk triage. Answers inbound phone calls and support virtual services via chat and email communication. Compose, edit, and prepare correspondence with a strong focus on customer service, quick response times, and referrals to other related student service areas 30% - Assist with all aspects of record stewardship, management, and compliance. Updates student records as required, following FERPA (Family Educational Rights and Privacy Act) while adhering to any other applicable laws, policies, rules, or regulations. Responds to student inquires for information; reviews and determines residency/lawful presence and identification authorization, special admissions, FERPA/U-18, enrollment verifications, domicile, and Western Undergraduate Exchange 30% - Assist with various enrollment, residency, and pre-requisite report audits. Process document submissions via in-person and e-form portal. Enters and maintains student-related information using a variety of student management software, including but not limited to the Student Information System, Dynamic Forms, and E-Document imaging 10% - Work in a team environment, assist in training staff and part-time/student workers. Assist with duties, to include serving on cross-functional committees, provide backup support to A&R leads, represent A&R on and off campus enrollment events, campus tours and/or other presentations, data collection and performs other related duties as assigned Minimum Qualifications Associate's Degree from a regionally accredited institution, and one year full-time of student services or college teaching experience or experience assisting with educational program development and coordination, student advisement, financial aid, or related enrollment services programs. OR An equivalent combination of the conferred degree and directly related full-time work experience as described above sufficient to successfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation, may be considered. Desired Qualifications A. One (1) or more years of experience, or part-time equivalency (2080 work hours), working in student services such as admissions and records, cashiers, financial aid, academic advising, and/or welcome center in a college/university setting B. One (1) year of customer service experience with a high degree of public contact including in person, telephone, and e-mail C. Experience with student services database system(s) (PeopleSoft, Banner, or any database or system used to support students) D. Two (2) or more years of experience working in a team environment Special Working Conditions
