Position Purpose |
The Senior Administrative & Project Manager serves as a key partner to the Dean of the School of Arts and Sciences, providing high-level administrative support and project management expertise to ensure the efficient and effective functioning of the Dean's Office. The role combines traditional executive assistant responsibilities with leadership in managing key initiatives and priorities for the Dean. Responsibilities include strategic scheduling, administrative oversight, and project coordination. The ideal candidate will have strong organizational and communication skills, and will be eager to take initiative, offering ideas and recommendations to help develop this new office, contributing to its long term success. |

Qualifications, Skills, Knowledge, Abilities:
- At least 7 years of experience in administrative support, project management, or a related field, with a proven track record of supporting senior leaders.
- Exceptional organizational skills, attention to detail, and ability to manage multiple priorities.
- Strong written and verbal communication skills, with experience drafting professional correspondence.
- Proficiency in office productivity software (e.g., Microsoft Office, Google Workspace) and project management tools.
- Ability to handle sensitive and confidential information with discretion and professionalism.

Description |
Executive Support
* Provide professional and discreet administrative support to the Dean by demonstrating initiative and commitment to excellence.
* Manage the Dean's complex and dynamic calendar, balancing competing priorities and ensuring timely preparation for meetings, events, and travel.
* Screen and prioritize communications, serving as the first point of contact for internal and external stakeholders.
* Draft and manage correspondence on behalf of the Dean, ensuring timely and professional communication.
* Coordinate travel arrangements, including creating itineraries and managing reimbursements in compliance with Dartmouth policies.
* Create and manage the Dean's expense reports.
* Prepare an annual calendar for the Dean, including meetings and events.
* Greet visitors to the office and serve as the "face" of the Dean's office.
* Provide administrative support for meetings, including preparing agendas, acquiring and organizing pre-materials, recording minutes, reserving space, and tracking action items.
* Arrange catering and meals for the Dean as necessary. |

* Develop timelines, deliverables, and metrics for key projects, ensuring alignment with institutional priorities.
* Research, analyze, and summarize data or materials to inform the Dean's decision-making and initiatives.
* Prepare presentations and reports on behalf of the Dean's office, gathering relevant data, summarizing key insights, and effectively communicating complex information in a clear and palatable manner.
* Partner with internal and external stakeholders to ensure smooth execution of events, programs, and initiatives led by the Dean's Office.
* Proactively identify and resolve potential challenges or risks in project execution. |
