The Parts Administrative Associate provides essential clerical and administrative support to the Parts Manager, focusing on inventory management, documentation, and process improvement. This role requires strong organizational skills, attention to detail, and the ability to collaborate effectively with team members across the company.

Key Responsibilities:



  • Perform accurate data entry and assist with inventory control, including various cycle count methods.
  • Identify and resolve quantity discrepancies in shipments from multiple suppliers.
  • Analyze issues to determine root causes and recommend process improvements.
  • Assist in preparing and conducting yearly physical inventory.
  • Handle clerical tasks such as photocopying, filing, and document management.
  • Process inbound customer returns and outbound supplier returns, ensuring proper documentation.
  • Demonstrate a willingness to learn and cross-train in various department functions.
  • Work collaboratively with corporate and local teams to support departmental goals.
  • Participate in process improvement initiatives and program certifications.
  • Maintain a professional demeanor and contribute to a positive work environment.
  • Ensure regular onsite attendance.
  • Perform other related duties as assigned.



Work Environment:



  • Office and warehouse setting with moderate temperature fluctuations.
  • Moderate noise level.



Physical & Mental Requirements:



  • Ability to work in an environment typical of a dealership parts department.
  • Strong communication skills, with the ability to read, write, and understand information effectively.
  • Ability to manage multiple tasks and focus on several issues simultaneously.
  • Decision-making skills based on logic, company protocols, and established procedures.



Qualifications & Skills:



  • High school diploma or equivalent (GED).
  • 6 months to 1 year of relevant experience and/or training, or a combination of education and experience.
  • Strong verbal communication skills.
  • Ability to work independently with minimal supervision.
  • Customer service-oriented mindset.
  • Proficiency in Microsoft Office (Word, Excel, Outlook).
  • Organizational skills and attention to detail.
  • Ability to multitask effectively.
  • Professional appearance and demeanor.
