We currently have an opening for an Administrative Assistant in the laboratory of Dr. Kay Tye at the Salk Institute. The Tye lab employs a multi-disciplinary approach including optogenetic, in vivo, and ex vivo electrophysiological, pharmacological, and imaging techniques to find mechanistic explanations for how emotional and motivational states influence behavior, both in health and disease. This role is an integral part of the lab and will be responsible for supporting the Investigator and lab members with calendaring, travel, and correspondence. Strong candidates will have prior experience working with these responsibilities across a variety of mediums. What You'll Do:

  • Provide a variety of administrative support to the Investigator, to include:
    • Maintaining the calendar of both the Investigator and lab
    • Arrange complex domestic and international travel for Investigator
    • Review, proofread, and edit written materials (correspondence, documents, and/or recommendation letters)
    • Process Investigator and lab member travel and other reimbursements
    • Routinely update Investigator's CV (publications, lectures, awards)
  • Assist with visa and academic appointments for lab trainees and staff
  • Manage lab meeting schedule; assist with planning and execution of lab meetings, including coordination of presentations, as well as lab related social activities (outings, retreats, etc)
  • Serve as a resource to lab staff and resolve lab inquiries
  • Communicate policy and procedure changes to appropriate personnel

What You Bring:

  • Bachelor's degree and 1-2 years related experience, or the equivalent combination of education and work experience
  • Experience working in an administrative space
  • Strong computer skills using standard office equipment. Must be very familiar with Windows. Strong proficiency in Microsoft Office Suite required, including Microsoft Word, Excel, and PowerPoint, as well as Adobe Acrobat and Outlook and Google calendars
  • Excellent communication, organizational, recordkeeping, and interpersonal skills
  • Able to perform and prioritize a variety of tasks, learn new systems independently, apply experience to develop new techniques, retain associated information, and meet deadlines
  • Possess exceptional customer service skills and positive attitude and demeanor
  • Capable of communicating information effectively, adaptively, and diplomatically both in writing and verbally
  • Strong time management and analytical/critical thinking skills
  • Ability to handle confidential and sensitive information
  • Ability to manage a variety of responsibilities simultaneously while remaining flexible to handle changing priorities
  • Must be able to work independently with minimal direction as well as part of a team

Physical Requirements:

This is not a virtual position and requires in-person interaction with the research team. Remaining in a normal seated or standing position for extended periods of time; reaching and grasping by extending hand(s) or arm(s); dexterity to manipulate objects with fingers, for example using a keyboard; communication skills using the spoken word; ability to see and hear within normal parameters; ability to move about workspace. The position requires mobility, including the ability to move materials weighing up to several pounds (such as a laptop computer or tablet).
