The Special Assistant is responsible for supporting high-level interactions with important stakeholders & elected officials, managing multi-department tasks, drafting communications, and coordinating externally facing initiatives with department heads, and insuring the overall smooth operation of the Executive Office. The ideal candidate will have the ability to work semi-independently and successfully in a fast-paced and high-profile environment, think both creatively and analytically, be flexible and highly organized, and be committed to CHW's mission. This position requires the capacity to grow into higher-level coordination and leadership, particularly in managing initiatives and interfacing with key decision-makers. The Special Assistant's responsibilities will involve a combination of administrative tasks and policy-focused work, including managing Board of Directors (BOD) activities and providing strategic support for the organization's legislative and real estate policy goals.
Roles & Responsibilities:
Legislative & Policy Duties:


  • Legislative Policy Research: Conduct in-depth research on relevant policies, legislative issues, and government affairs to provide informed recommendations.
  • Partner Identification: Identify key community members, advocates, public officials, private business leaders, donors, and other stakeholders to connect with in support of CHW's initiatives and overall mission.
  • Leading Special Initiatives: Coordinate and lead special initiatives by working closely with department heads to ensure tasks are completed effectively and on schedule.
  • Follow-up on Multi-Department Tasks: Track and follow up on tasks and projects involving multiple departments to ensure deadlines and objectives
  • are met.
  • High-Level Meeting Management: Support and manage sensitive meetings with elected officials, high-level stakeholders, the CHW Board, and external partners.
  • Presentation Preparation: Develop clear, compelling presentations, including data analysis and strategic messaging, for various stakeholders, including leadership and elected officials.
  • Communication Drafting: Write and edit communication materials, including letters, presentations, and policy memos, to ensure clear, effective messaging.
  • Document Review: Review and analyze documents, policies, and reports to ensure accuracy and alignment with organizational goals.
  • Email Management: Manage the Executive Office's email correspondence, prioritizing and responding to inquiries and ensuring smooth communication flow.
  • Event Planning Support: Assist with planning and organizing events, briefings, and meetings; ensuring all logistics are coordinated effectively.


Executive Administrative Duties:


  • Serves as a liaison and provides support to the Board of Directors. Arrange all logistics for Board meetings and events: schedule meetings; draft agendas; develop, compile, and distribute presentation materials; record meeting minutes; adhere to compliance with rules and regulations set in bylaws regarding Board matters. Prepares and coordinates the delivery of various materials for the Board of Directors and assigned committees. Attends meetings to prepare minutes and maintain corporate files. Provides a point of central contact for all Board members and elected officials. Assures compliance with resolution approval procedures for CHW and affiliate corporations.
  • Complete a broad variety of administrative tasks to facilitate the CEO's ability to effectively lead the organization. Assisting with special projects; designing and producing complex documents, reports, and presentations; composing clear, accurate, and concise emails, memos, and correspondence; creating and maintaining systems utilizing appropriate technology; and identifying ways to enhance the efficiency and effectiveness of Executive Office's administrative support functions. Specific duties may include:

    • Screening incoming emails and responding when appropriate.
    • Conducting occasionally highly sensitive calendar management and providing frequent reminders on high-priority upcoming meetings and action items.
    • Creating Excel reports and PowerPoint presentations for meeting presentations.
    • Creating and sending mass internal email communications from the point of view of the CEO, COO, and/or CFO when appropriate.
    • Proof-reading documents and providing modifications.
    • Handling highly confidential information.
    • Oversee the Administrative Assistant's tracking and entering of new CEO and/or COO contacts in appropriate systems; and
    • Produce the CEO Report and the COO Report.


  • Manage the fiscal operations of the Executive Office. Organizes and is responsible for any payments related to meetings, travel, and executive management team activities. Monitors assigned administrative budget items and submits recommendations for the annual budget development process.
  • Work closely with the CEO and COO to keep them well informed of upcoming commitments and responsibilities. Act as a "barometer," having a sense of activity taking place in the organization and keeping the CEO and/or COO updated. Anticipate the CEO's needs in advance of meetings, retreats, etc. Perform gatekeeper and gateway roles - acting as a bridge for smooth communication between the Executive Office and staff.
  • Provide sophisticated calendar oversight for the Executive Office. Collaborating with the Administrative Assistant, prioritize inquiries and sensitive requests while troubleshooting conflicts. Make judgments and recommendations to ensure smooth day-to-day operations for the C-Suite executives.


Education and Experience:


  • Bachelor's degree in public policy, Public Administration, Operations Management & Analytics, or a related field (with 0-2 years of post-college experience). This position is ideal for recent graduates who are passionate about policy, public administration, and working in a dynamic, collaborative environment with opportunities for growth and leadership development.
  • Experience in legislative policy or public administration with a strong focus on legislative research, presentation preparation, and leading special initiatives preferred.
  • Strong research and analytical abilities.
  • Ability to coordinate initiatives across departments and manage sensitive information and meetings involving high-level stakeholders.
  • Excellent written communication skills, with the ability to draft clear, concise, and professional documents and presentations.
  • Strong attention to detail and proactive problem-solving abilities.
  • Strong organizational and time management skills.
  • Ability to work independently and in a team environment.



Physical Abilities:
The physical abilities to perform tasks may require prolonged sitting, standing and/or moving.
Moves throughout the office spaces, outdoor spaces and building to access areas of resident services.
Moves equipment weighing between 20-35 pounds without assistance. Moves more than 35 pounds with assistance.
Moves through outdoor spaces of varying levels and textures including uneven ground. May have to move around active construction sites and follow the site-specific safety protocol.
Work Environment:
The noise and climate level in the work environment varies depending on the work site, including outdoor work environments. Reasonable accommodations may be made to enable individuals with different abilities to perform the roles and responsibilities of this position.
Compensation:
It may vary based on skills, experience and qualifications
$65,000 - $71,426
