Position Purpose |
The inaugural
Assistant Provost, Institutional Registrar augments and amplifies the work of school-based registrars by overseeing institution-level tasks related to academic records, data management, reporting, compliance, and communication, and by supporting school-level tasks to help achieve greater efficiency and effectiveness. |

- Three years' experience in a college or university registrar's office with leadership responsibilities.
- Ten years' overall experience in higher education in roles of increasing responsibility and leadership.
- Knowledge of processes typically handled by a registrar's office.
- Familiarity with federal and other requirements impacting student records.
- Experience in the business process side of a SIS.
- Basic understanding of database configuration and data architecture.
- Strong written, verbal communication, and presentation skills.
- Demonstrated skill working with university officers and faculty.

Description |
Leadership and Communications -
- Leads registrar decisions that are Dartmouth-wide.
- Advocates for unique needs of the undergraduate, graduate, and professional schools.
- Communicates updates about departmental changes, degree programs, and other relevant developments to stakeholders across Dartmouth to ensure alignment and awareness.
- Advocates for resources and technology that are responsive to constituent needs and enhance efficiency.
- Provides leadership in institutional compliance with governmental regulations, institutional policies, and other regulatory mandates that impact student records.
- Trains users and provides basic understanding of system capabilities and hardware/software requirements in support of effective service to constituents.
- Works with key stakeholders as a proactive leader to ensure student success at Dartmouth.
- Coordinates classroom scheduling for all schools, where possible.
- Facilitates effective management of disparate academic calendars.

Description |
Academic Records and Data Management -
- Coordinates Student Information System (SIS) implementation and enhancement requests.
- Develops and maintains strong working knowledge of SIS capacity and use.
- Leads database implementation and standardization for Dartmouth-wide requirements such as dual degrees, CIP code assignments, certificate tracking, or distance-education programs, courses, or students.
- Ensures integrity of all student records.
- Actively participates in and supports Dartmouth's data governance program.
- Identifies opportunities for and facilitates achievement of shared business processes in support of clean and accurate data for reporting and analysis as well as transactional use and transcripting.
- Supports institutional efforts to track student progress by aligning business processes with data configuration and use requirements.

Compliance and Reporting -
- Oversees compliance reporting, e.g., Veterans Affairs certifications, National Student Clearinghouse reporting.
- Creates and maintains mechanisms that allow for tracking and reporting on specific populations, as appropriate.
- Monitors the academic calendar and class schedule for compliance with federal and accreditation standards.
- Participates in curriculum approval processes across schools to ensure execution aligns with academic policies.
- Documents business processes.
