The Role

The Development Coordinator plays a crucial role in supporting the fundraising team by providing essential administrative, logistical, and operational assistance. This position enhances donor engagement, streamlines fundraising efforts, and ensures the smooth execution of development activities. Reporting to the Director of Development and collaborating closely with the Associate Director of Development, Development Manager, Marketing and Communications, and Programs and Services teams, the Development Coordinator contributes to donor stewardship, corporate sponsorship support, event coordination, and data administration.

Data Administration

    Provide administrative support for fundraising operations, including scheduling, data entry, financial reporting, and donor communications.
  • Maintain and update donor and sponsor databases, ensuring accurate record-keeping of contributions, sponsorships, and event participation.
  • Process donor gifts, acknowledgment letters, and stewardship efforts in a timely and organized manner.
  • Assist in the development and production of marketing collateral and CRM landing pages.
  • Compile and prepare monthly revenue reports and support leadership with committee mailings.

Donor Engagement

  • Support donor stewardship efforts by ensuring the timely and accurate distribution of materials and information.
  • Assist with donor cultivation efforts, including mailings, electronic follow-ups, and personalized engagement strategies.
  • Coordinate stewardship mailings and donor recognition initiatives to strengthen relationships and retention.

Research & Reporting

  • Conduct targeted research on corporate sponsors, foundations, and individual donors to identify new fundraising opportunities.
  • Prepare donor and sponsorship prospect presentations to support fundraising initiatives.
  • Assist in compiling impact reports that highlight donor contributions and program successes.
  • Maintain records for monthly financial reporting and donor contributions to support the accounting team.

Team Support

  • Maintain and update the Development team's annual work plan in the project management system.
  • Prepare sponsorship agreements, create invoices, and manage follow-ups and donor moves tracking.
  • Track and manage sponsorship agreements and benefits in the project management system.
  • Monitor and follow up on accounts receivable from donors, sponsors, and foundations to ensure timely contributions.
  • Track and process accounts payable to ensure prompt payments to vendors and partners.
  • Provide outreach and follow-up for sponsorships, auction items, and general event support.
  • Prepare and distribute agendas, meeting notes, materials, and follow-ups for internal and external meetings.
  • Maintain and update internal communication platforms (Google Sites) for various committees.

Special Events

  • Provide logistical and administrative support for fundraising and donor engagement events.
  • Assist with event planning, including supply coordination, volunteer management, and venue arrangements.
  • Collaborate with Development, Marketing, and Programs & Services teams to ensure seamless event execution.
  • Support post-event stewardship efforts to enhance donor retention and engagement.
  • Contribute to event evaluations by compiling reports on outcomes, donor engagement, and revenue generation.
Who You Are
  • High School Diploma or GED required; Bachelor's degree preferred.
  • 1-3 years of experience in a nonprofit development, fundraising, or advancement office.
  • Experience working with CRM systems, capital campaigns, and major gift fundraising is a plus.
  • Proficiency in technology tools for donor engagement, including database tracking, reporting, email marketing, social media, and online giving platforms.
  • Strong relationship-building skills with donors, board members, and key stakeholders.
  • Knowledge of donor acquisition, cultivation, and stewardship best practices.
  • Event coordination experience is preferred.
  • Proficiency in Microsoft Office (Word, Excel), Google Suite (Drive, Docs, Gmail), project management tools (ClickUp), and CRM systems (CharityEngine, Zendesk). Familiarity with USTA systems (Tennis Link, TDM) is a plus.
  • Ability to track and analyze fundraising performance metrics, donor data, and financial reports.
  • Strong analytical skills to identify challenges, evaluate options, and implement innovative solutions.
  • Experience managing financial resources, tracking expenditures, and ensuring efficient use of materials and equipment.
  • Ability to maintain accurate records and uphold data integrity across all development activities.
  • Strong verbal and written communication skills, with the ability to work effectively across teams and with external partners.

What We Offer

This position is exempt and paid between $28.00 to $30.00 per hour. Compensation is commensurate with experience. Bonus eligibility is determined annually. Full-time employees regularly work 35 - 40 hours per week.
